It meets a profoundly satisfying mission to improve the health and wellbeing of our community and to continue the Mater tradition of care and compassion.Mater Foundation helps to underpin an extensive network of hospitals across Queensland, a world-class research institute and a nationally accredited education provider.In this dynamic role, you'll provide essential administrative support to the CEO Executive Support Officer and the broader Mater Foundation team, helping to ensure smooth day-to-day operations and successful delivery of key initiatives.Coordinate meetings, workshops, and events, including venue arrangements and logisticsManage office supplies, pool car bookings, outgoing mail, and courier servicesSupport Mater Foundation campaigns and fundraising activitiesAssist with onboarding new starters and maintain accurate records for staff education fund applicationsProcess invoices, reconcile expenses, and update payroll systems such as KronosOrganise travel and accommodation arrangements, including hire cars and expense reconciliationProvide general clerical support including photocopying, scanning, and data entryContribute to continuous improvement of administrative systems and processesAbout youYou're a highly organised and adaptable professional with a passion for supporting others and making a positive impact.
To be successful in this role, you will have:Demonstrated experience in administrative support and office practicesStrong time management and organisational skillsExcellent communication and interpersonal abilitiesHigh attention to detail, especially in financial and clerical tasksProficiency in Microsoft Office and web-based platforms (e.g., SharePoint)Experience with systems like Kronos and Flexipurchase (highly regarded)Ability to maintain confidentiality and exercise sound judgmentWillingness to occasionally work outside standard hours for events and activitiesMater is Queensland's largest not-for-profit healthcare provider, delivering exceptional care to nearly 700,000 patients each year across 11 (soon to be 12) hospitals.
