We are a growing respiratory and sleep clinic in the northern suburbs, committed to
delivering exceptional patient care and support. We are seeking a friendly and organised
Adminstative Support team member to join us on a part-time basis.
About the Role:
In this position, you will play a key role in ensuring our clinic runs smoothly.
You will manage a diverse range of responsibilities, including:
● Patient Coordination: Schedule and confirm patient appointments, manage
rescheduling and cancellations, and provide pre-appointment instructions. Follow up
with patients for feedback and next steps.
● Administrative Tasks: Maintain accurate patient records, patient referrals, process
registrations and other forms, handle billing, and prepare or download data for
reports.
● Office Operations: Maintain a professional clinic environment, manage inventory, and
assist with marketing efforts. Executing essential administrative and logistical tasks that
keep our clinics running effectively.
● Communication: Serve as the primary contact for patient inquiries, acting as a liaison
between patients, staff, and external healthcare providers.
● Compliance and Confidentiality: Ensure all tasks adhere to patient confidentiality
protocols and comply with clinic standards.
The Administrative Support position plays a vital role in ensuring the smooth day-to-day
administrative operations of our Respiratory clinic. The role involves coordinating
appointments, maintaining accurate patient records, managing communication with
patients and healthcare providers, and delivering outstanding customer service. A high
level of organisation, attention to detail, and excellent communication skills are essential
for this position.
This hands-on, patient-centered role requires strong organisational and interpersonal skills,
meticulous attention to detail, and a compassionate approach.
Essential Requirements
● Clinical & Technical Expertise Previous experience in an administration or customer
service role ideally within a Clinical setting.
● Communication & Interpersonal Skills Possess strong written and verbal
communication skills. You must be able to engage patients and customers to
understand their needs, listen attentively, and use negotiation and persuasion to
guide them.
● Adaptability & Problem-Solving Demonstrate an ability to thrive in changing work
environments and social surroundings. You must be resourceful, mature, and possess
a positive attitude toward problem-solving, identifying and resolving issues in a
timely manner.
● Teamwork & Reliability You are able to work effectively both independently and as

Essential Criteria
● Experience: Demonstrated experience in an administrative support role, preferably
within a healthcare or allied health setting
● IT Proficiency: Proficiency in practice management software and Microsoft Office
Suite (Word, Excel, Outlook).
● Communication: Exceptional verbal and written communication skills, with a proven
ability to engage with diverse stakeholders.
