Flow Health & Cardiac Diagnostics provides specialist suites for Endocrinologists, Cardiologists and skin cancer GP.
Our amazing team consists of cardiac technicians, sonographers, nurses and an enthusiastic, professional onsite and off-site admin team. We are looking for a full-time leader to grow and nurture our admin team with fantastic support from the Director and Office Manager.
The Opportunity
This is a full-time hands-on leadership role where you’ll set the standard, build capability in the people around you, and be a trusted presence for patients, practitioners, and referrers every single day. You’ll be supported by an experienced Office Manager and empowered to make the role your own.
Your responsibilities will include:
Team Leadership
* First-line management, mentoring, and development of reception staff
* Onboarding and offboarding, roster management, leave coverage, and timesheet approvals
* Setting the tone for a professional, warm, and high-performing front desk culture
* Managing patient complaints at reception with confidence and care
Billing & Finance
* Medicare, DVA, health fund, and inpatient billing (Eclipse)
* End-of-day reconciliation, EFTPOS settlement, banking, and debtor management
* Checking accuracy of day sheets and item numbers
* Petty cash management
Patient Experience & Scheduling
* Scheduling, registration, and referral screening and management
* Checking patient eligibility for health service funding
* Ensuring every patient interaction reflects the warmth and professionalism our practice is known for
Qualifications and Experience
* You’re the kind of person who raises the bar without being asked. You lead with patience and professionalism, you notice what needs doing before anyone points it out, and you genuinely care about the people on your team and the patients walking through the door
* Experience in a medical reception or administration role, ideally in a specialist or General Practice
* Solid knowledge of Medicare and DVA billing — inpatient and Eclipse experience highly regarded
* Confidence with practice management software (We are transitioning from Clinic to Cloud to Xestro)
* Strong communication skills, both written and verbal
* A calm head under pressure and the initiative to solve problems on the fly
* Certificate III/IV in Medical Administration or equivalent experience (desirable, not essential)
* Ability to review and implement systems to improve operational efficiency.
