Thrive Fertility is an established, patient‐centred fertility clinic seeking an experienced Patient Services Team Leader to join our team on a 12‐month fixed term contract. This role is pivotal to both the patient experience and the operational success of the clinic.
Reporting to the Business Manager, this is a hands‐on leadership role overseeing our patient services team, within a multidisciplinary team environment.
About the Role
You will provide leadership, structure and support to the patient services team while contributing to the smooth day‐to‐day running of the clinic. This role requires a warm, capable leader who is forward‐thinking, organised and driven to deliver compassionate, high‐quality care in a busy healthcare setting.
You will work closely with specialists, nurses, embryologists and counsellors to ensure patient journeys and administrative processes are managed with care, efficiency and professionalism.
Key Responsibilities
* Lead and oversee the patient services team, including rostering and workforce planning.
* Manage administration processes, including Medicare and patient accounts.
* Support daily clinic operations to ensure efficiency and service excellence.
* Triage patient referrals and manage web enquiry workflows.
* Conduct audits to support compliance, risk management and continuous improvement.
* Prepare practice and operational reporting to support business performance.
* Oversee stock ordering and resource management.
* Build and maintain referral networks.
* Support specialists and clinical staff as required.
* Contribute to business development initiatives.
* Assist with accounts payable and timesheet submissions.
* Provide support to the Business Manager as required.
About You
* Previous experience in a team leader or senior administration role within healthcare.
* Experience in a fertility or specialist medical practice (highly desirable).
* Strong organisational and leadership skills with excellent attention to detail.
* High emotional intelligence with a compassionate and professional approach.
* Confident working autonomously while collaborating with leadership.
* Proactive, solutions‐focused and motivated by both patient care and business performance.
* Experience with Artemis or similar fertility practice software will be highly regarded.
