Primary objective
Provide comprehensive, confidential, administrative coordination to the Corporate Services Division to ensure quality operation and
service delivery and a consistent approach across the department.
Context statement
The Strategic Services, Governance and Risk Unit delivers high-quality, timely strategic policy advice and research services that support
the agency's objectives and strategic priorities. The unit plays a key role in ensuring robust governance systems are established, maintained,
and continuously improved. In addition, the unit provides expert business advisory and consultancy services across a range of critical
functions, including workforce and risk management, corporate policy development, work health and safety, facility management, strategic
projects and the operation of governance committees.
Key duties and responsibilities
1. Manage general enquiries and liaise effectively with internal and external stakeholders to assist in the smooth operation of the division
and provide efficient and timely service.
2. Set clear goals, manage the day-to-day prioritisation and workflows in a business services environment, manage department projects
including across agency events and provide support to working groups/committees as required.
3. Ensure delivery of high standard of positive and professional office accommodation services for the agency premises, including
maintenance, building security, car parking and office relocations; attend meetings and monitor onsite contractors.
4. Manage a range of procurement functions including travel, liaising with suppliers, purchasing, and processing transactions.
5. Provide executive secretariat support to various departmental governance committees and working groups, in accordance with
legislative and governance frameworks.
1. Undertake project work as allocated to support both the CEO's office and the Executive Director, Corporate Services Division.
Selection Criteria
Essential
1. Proven ability to work effectively in a team support role; with well-developed interpersonal, oral, and written communication skills, a
high-level of personal motivation, attention to detail, sound judgement, the ability to maintain confidentiality and a clear
understanding of the need for tact and diplomacy.
1. Knowledge and experience in delivering well-coordinated administrative support and secretariat services; document preparation,
collation and distribution, management of information and records; and developing robust work processes.
1. Highly developed knowledge and experience with facilities management, procurement, governance procedures and protocols.
2. Experience in managing a broad range of across agency events and allocate resources to meet project outcomes.
3. Experience operating in a fast-paced environment with strong organisational and time management skills, ability to think and act
strategically, work autonomously, with minimal supervision and a demonstrated ability to prioritise tasks.
6. Demonstrated ability to communicate professionally and effectively at all levels and with people from diverse backgrounds.
Desirable
1. An ability to provide an after-hours call out service as required
2. Sound knowledge of the agency, its responsibilities with NT agencies and other key stakeholders.
3. Current drivers licence or ability to obtain.
