Anindilyakwa Royalties Aboriginal Corporation (ARAC) plays a vital role in supporting the aspirations of Anindilyakwa Traditional Owners across the Groote Archipelago. Established to receive and distribute royalties relating to Aboriginal land use, ARAC distributes these funds to support economic development, infrastructure, housing and services.
ARAC's Lease Management Unit (LMU) is seeking a capable and organised Administration Officer to provide essential support across governance, compliance, township leasing and operational functions. This role plays a key part in ensuring the smooth administration of the Groote Archipelago Township Lease and contributes to delivering outcomes that support Traditional Owner aspirations, community development, and organisational effectiveness.
About the role:
Reporting to the Executive Officer, this part time position provides structured administrative, governance and compliance support. The role ensures lease administration, procurement, asset management and reporting processes are accurate, timely and well documented
Based in Darwin with flexible hybrid arrangements, the role may require occasional travel to Groote Eylandt or Cairns
Key responsibilities include:
Governance and organisational support
* Coordinate Board and LMU meetings, travel and logistics
* Prepare agendas, meeting papers and minutes
* Maintain corporate records and document control systems
* Support policy development and version control
Lease administration and compliance
* Assist with sublease applications, renewals and variations
* Maintain lease registers, databases and compliance records
* Track rent schedules, insurance compliance and key dates
* Support quarterly reporting and audit preparation
Procurement and financial administration
* Coordinate purchase approvals and maintain procurement registers
* Support invoice processing and budget tracking
* Liaise with suppliers and prepare quote comparisons
Asset and operational administration
* Maintain asset registers and service schedules
* Coordinate travel bookings and operational logistics
* Maintain SharePoint and filing systems
* Respond to enquiries and elevate urgent matters appropriately
About you
* To be successful in this role you will demonstrate
* Experience in administration, governance support, records management or property or tenancy administration
* Strong organisational skills with excellent attention to detail
* The ability to work respectfully and effectively with Aboriginal organisations and communities
* Strong written and verbal communication skills
* Proficiency in Microsoft Office and cloud based systems including OneDrive and SharePoint
* High levels of integrity, discretion and professionalism
* A current driver licence and willingness to undertake required pre employment checks
* Capacity to travel to Groote Eylandt or Cairns if required
* Experience in land tenure, leasing, Board support, grant administration or remote service delivery will be highly regarded
