Administrative Support Specialist
We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. This role will provide administrative support to clients and staff, maintaining professionalism, care, and friendliness in a dynamic environment.
This position is ideal for someone with strong time management skills and a desire to help others. As an Administrative Support Specialist, you will work in a fast-paced administrative environment prioritizing patient care, being the first point of contact for patients and referring doctors, face-to-face and over the phone, collaborating with other departments to ensure smooth clinic operations.
Key Responsibilities:
* Provide administrative support to clients and staff, maintaining professionalism, care, and friendliness in a dynamic environment.
* Work in a fast-paced administrative environment prioritizing patient care.
* Be the first point of contact for patients and referring doctors, face-to-face and over the phone.
* Collaborate with other departments to ensure smooth clinic operations.
Community Engagement Role:
* Support marketing efforts by creating internal and external collateral using various tools.
* Develop a portfolio of advertisements for Queensland.
* Manage event collateral and stock.
* Assist with internal and external events.
* Maintain the Salesforce database.
Medical Receptionist Role:
* Book and confirm patient appointments and consultations.
* Travel between clinics as required.
* Manage doctors' diaries and ensure administrative tasks are completed.
* Receive and organize patient referrals and take prompt action.
* Use systems effectively for bookings.
* Promote a positive company image and community relations.
* Billing and receipting during appointments.
* Accurately process paperwork and data entry.
* Provide excellent customer service both face-to-face and over the phone.
* Adapt to ongoing changes and manage competing priorities.
Requirements:
To be successful in this role, you will need:
* Experience in medical administration and reception.
* Strong time management and organizational skills.
* A collaborative and flexible approach.
* Strong communication skills to liaise with patients, staff, and practices.
* Knowledge of Medicare and clinical systems (highly desirable).
