Primary objective
Provide a high level of administrative, procurement and financial support to staff in the Southern Region (Alice Springs and Tennant Creek),
including reception duties, under the direction of the Regional Executive Officer (REO).
Context statement
Located at the Arid Zone Research Institute are The Department of Agriculture and Fisheries (DAF), Department of Lands Planning and
Environment, and the Department of Mining and Energy. In the Department of Agriculture and Fisheries there are staff that work with
crops and cattle on research farms, conduct research and development and provide industry development and regulatory services in the
fields of agriculture (cattle and horticulture industries), agribusiness development, biosecurity, animal welfare, water laboratory services
and regional management.
Key duties and responsibilities
1. Provide advice and support to staff in respect to procurement, corporate credit card and other payment systems, travel, with
administrative management of vehicles and ICT equipment.
2. Provide support and undertake duties to assist the Regional Executive Officer as required.
3. Undertake administrative tasks associated with accounts payable, accounts receivable, purchase orders, petty cash, Receiver of
Territory Monies.
4. Assist with review of budgets and expenditure, liaison with DAF Finance.
5. Assist in liaising with the Department of Logistics and Infrastructure regarding urgent repairs and maintenance.
6. Provide advice and support for Work Health and Safety processes, particularly secretarial duties (agendas and minutes).
Selection criteria
Essential
1. Extensive experience in an administrative support role including office computer systems experience.
2. Demonstrated experience in a range of procurement and financial administrative processes, including experience in accounts (payable
and receivable), processing and tracking expenditure and budgets, and travel services.
3. Excellent interpersonal skills, teamwork, customer oriented with ability to provide advice to staff from diverse backgrounds.
4. Demonstrated capacity for proactively using initiative for problem solving, perform well under pressure, well organised and can
prioritise commitments to meet critical deadlines.
5. Proven ability to write clear and concise correspondence and records (memos, emails, reports and minutes).
6. Demonstrated ability use discretion to maintain accuracy and confidentiality in processes and records management.
7. Demonstrated understanding of procedures and principles for Workplace Health and Safety and public safety in relation to offices,
farms, other facilities and related work practices.
Desirable
1. A Northern Territory driver's licence or ability to obtain.
2. Knowledge of NTG financial software other administrative processes (e.g. recruitment, records management), the Financial
Management Act, NTG Procurement Guidelines,
1. Relevant qualifications such as Certificate III in Finance or Business Administration.
