The Department of Home Affairs is responsible for centrally coordinated strategy and policy leadership in relation to domestic national security arrangements, law enforcement, emergency management, counter-terrorism, social cohesion, the protection of our sovereignty, the integrity of our border and the resilience of our national infrastructure.
The Australian Border Force, an operationally independent body within the Department of Home Affairs, is Australia's frontline border law enforcement agency and Australia's customs service. The Australian Border Force's mission is to protect Australia's border and facilitate the legitimate movement of people and goods across it.
**Overview of Branch and Section**:
The Relocations Team is part of the Employee Conditions and Relocations Section within People Services Branch. The Branch drives the delivers human resource (HR) Services for the Department, specifically in relation to:
- Culture, Diversity and Inclusions
- Employee Conditions and Relocations
- Learning and Development Services
- Rehabilitation and Compensation Management
- Workforce Capability.
Employee Conditions and Relocations Section is responsible for the provisions of non-monetary and monetary entitlements and employee benefits. Managing and facilitating primary and secondary reviews of actions and implementing outcomes, and providing advice and support in accordance with policy.
The facilitation of logistics relating to the relocation of staff going on domestic and international short and long term postings and providing advice and support on the conditions and entitlements relating to domestic relocations and remote conditions and overseas relocations.
**About the role**:
The APS 4 HR Administration Officer, is responsible for providing administrative support to facilitate pre-deployment requirements under the Professional Support Framework, and the provision of logístical support including passport/visa, travel and accommodation, interpret policy and guidelines related to domestic and international relocations.
If you have a passion for working within a small team to assist staff throughout the Department with their relocation either onshore or offshore, we would love to hear from you. We are looking for someone who can hit the ground running, and enjoy working in a vast and sometimes challenging environment. Ideally you will have:
- Strong communication skills, both oral and written
- Ability to work with a high degree of accuracy and attention to detail
- Strong problem solving skills
- Ability to work flexibly within the team to manage work priorities including meeting conflicting deadlines, within a high passed environment
- Proven ability to maintain a positive team environment and to build effective working relationships with a range of stakeholders
- Experience in coordination of travel related to logistics
- A passion for exploring and implementing innovative ideas
- Strong Customer Service skills.
**Specific Duties / Responsibilities**:
- Provide administration support for the facilitation of pre-posting logistics for Long Term Postings and Short Term Missions, including Institutional Partnerships Program (Port Moresby) and embedded positions in UK and USA
- Administer the Overseas Medicals process for posting officers including pre-screening, pre-posting and post-posting medicals for long term postings and short term missions
- Provide administrative support for Return to Australia, Reunion and, Reverse Reunion Travel and Relief Travel, including quarantine exemptions, passport cancellations DFAT passenger cap process and updating the Expats list.
- Provide at post support to A-based officers relating to return to Australia, Relief Fare for Australia only (COVID19 related), Reverse Reunion (COVID19 related)
- Calculate Education Reimbursements and submit to Team Leaders for approval
- Provide general, non-complex policy interpretation
- Draft cables for Long Term Postings and Short Term Missions for review and quality assurance by team
- Maintain the Overseas Movement Register and Passport Register.
