Sales & Sales Administration Coordinator

Role Overview

We are seeking a proactive and detail-oriented Sales & Sales Administration Coordinator to support our dynamic and growing sales team. This hybrid role combines direct engagement with prospective clients and critical administrative support to ensure the smooth delivery of the end-to-end sales process.

As the central link between clients, internal teams, and operational workflows, you will play a vital role in driving efficiency, maintaining accuracy, and supporting a responsive, client-focused sales environment.

Key Responsibilities

Sales Engagement & Follow-Up

* Proactively follow up on leads, opportunities, and inquiries.
* Maintain regular communication with prospects to support sales progression.
* Assist in the preparation of proposals, presentations, and formal quotations.

Sales Administration

* Generate quotes, process orders, and update CRM records.
* Track and report on sales activities and KPIs in weekly summaries.
* Support documentation and manage shared communication channels (e.g., team inboxes).
* Coordinate closely with sales, operations, and support teams to ensure seamless workflow.

Process Management

* Ensure accurate and timely execution of each stage of the sales cycle.
* Monitor the sales pipeline and flag stalled or at-risk opportunities.
* Maintain and update sales materials, templates, and standard operating procedures.

Client Support & Relationship Management

* Act as a point of contact for client onboarding, follow-ups, and general inquiries.
* Maintain up-to-date and accurate client records in relevant systems.
* Facilitate client training sessions and support user adoption.
* Action and resolve support tickets from clients.
* Conduct monthly check-ins with existing clients to maintain engagement and satisfaction.

Key Skills & Experience

* Demonstrated experience in sales coordination, inside sales, or sales administration.
* Excellent communication skills, both verbal and written.
* Strong organisational skills with the ability to manage competing priorities.
* Proficient in CRM systems such as HubSpot, Salesforce, or similar.
* Tech-savvy with confidence using Microsoft Office and digital collaboration tools.
* Comfortable engaging with both external clients and internal stakeholders.
* Strong interpersonal and networking abilities with a professional brand presence.

Working Conditions

* Full-time position: 38 hours per week.
* Flexible working hours available.
* Current Driver Licence required
* Occasional attendance at team meetings or company events outside standard hours may be required.
