About Us
The Queensland Fire Department (QFD) provides fire prevention, preparedness and response services to fires in built and landscape environments, and offers scientific and specialist capabilities to Queensland communities.
QFD delivers a multi-hazard emergency response, including road crash rescue, bushfire, hazardous material, technical and vertical rescue, severe weather incidents, remote and swiftwater rescue, and provides a range of functions supporting community safety outcomes.
The department includes Queensland Fire and Rescue (QFR), Rural Fire Service Queensland (RFSQ), and a broader service that collaborate to pre-empt, prevent, mitigate and manage the consequences of fires and other emergencies for Queensland communities, supporting a large volunteer membership statewide.
QFD prioritises reframing its relationship with Aboriginal and Torres Strait Islander peoples, communities and organisations through the Path to Treaty, Closing the Gap, and building cultural capability.
Purpose of the Role
In QFR regional operations, the Executive Support Officer reports to the Assistant Commissioner and provides high-level confidential executive and administrative support, including human resource and financial administration, records management and secretariat duties, to coordinate and deliver QFD integrated services across the region.

Experience providing administrative support in senior executive environments and within regional locations.
Responsibilities
Provide a high standard of confidential executive, administrative and business support, including screening phone calls.
Manage the Assistant Commissioner's appointment diary and organise meetings, workshops, conferences, travel and other events.
Collate, prepare and quality-assure briefing documents, reports, presentations, speeches, agendas, minutes and draft materials.
Monitor, prioritise, register, action and disseminate incoming correspondence to manage critical information and workflows.
Communicate and liaise with staff, clients and stakeholders on a wide range of issues affecting regional hub operations in a professional and positive manner.
Coordinate administrative operations of the regional office to ensure timely and efficient delivery of practices and activities.
Provide secretariat support for meetings and committees, including agendas, minutes recording, circulation and follow-up on actions and outcomes.
Offer procedural advice and guidance to staff across regional hubs and undertake reviews, implementing changes to administrative systems to improve processes and outcomes.
Ensure office equipment, resources and supplies are efficiently and effectively maintained.
