We are seeking a dynamic, warm, and highly organised Executive Assistant to support the Executive Director NDIS & Community and Executive Director Family & Community Services. What are we looking for?
* Act as the first point of contact for the Executive Director, including managing enquiries and responding on their behalf when required.
* Facilitate meetings and correspondence for the Executive Director and their team, including coordinating responses and following up on outstanding matters.
* Research, analyse, collate, and provide information to support informed decision-making and planning.
* Proactively schedule, organise, prioritise, and attend meetings as required to provide support.
* Form and maintain a collaborative relationship with the Executive Assistant to the Bishops to enable open communication and information sharing between offices.
* Manage, prepare, and review communications ensuring timely delivery and accuracy, including board reports, agendas, minutes, and email communications.
* Maintain discretion when managing confidential matters.
* Coordinate business-related travel and conference/seminar attendance with a focus on sourcing and organising cost-effective and efficient arrangements.
* Participate in professional networks and forums relevant to the role.
* Support and provide coverage for the Executive Assistant Team as required.
About you?
* Certificate IV or higher in Business Administration or equivalent
* Current drivers’ licence
* A current Working with Children check (or willingness to obtain)
* A current NDIS Check (or willingness to obtain)
* National Police Check (relevance of outcomes will be considered)
* 5+ years experience as a senior executive assistant
* Proven ability to build effective relationships with employees, volunteers, and stakeholders
* Advanced computer skills, including MS Office Suite and high keyboarding speed and accuracy
* Comprehensive knowledge of executive office practices and procedures
* High discretion handling confidential and sensitive information
* Adherence to legislation, policies, and procedures
* Experience coordinating and facilitating meetings
* Expertise in travel and conference bookings management
* Strong diary management skills for multiple stakeholders
* Experience supporting document collation and research
