Opportunity Overview

The organisation is seeking a highly skilled and organised Executive Assistant to support the CEO, Board and Leadership Team.

This parental leave cover position offers a unique opportunity to take on a fast-paced, high-energy role where you will have real impact across the business.

* Provide high-level administrative support to the CEO, Board and Leadership Team.
* Manage calendars, priorities, workflows, and information flow across the organisation.
* Prepare briefing papers, correspondence, background material, and reports.
* Act as primary contact for the CEO, building strong relationships with government, industry, sport, entertainment, and community stakeholders.
* Deliver professional, timely, and diplomatic communication on behalf of the executive office.
* Collaborate with internal teams and government departments on content accuracy and approvals.
* Coordinate complex meetings, events, workshops, and travel arrangements.
* Prepare agendas, minutes, and supporting materials for executive and stakeholder meetings.
* Support strategic initiatives and organisational projects as required.
* Contribute to building positive workplace culture and efficient executive operations.
* Undertake project tasks at the discretion of the CEO, Board or Leadership Team.


Key Responsibilities

Develop and maintain high-quality relationships with key stakeholders, including government agencies, industry partners, and community groups.

Provide expert-level administrative support, including calendar management, travel coordination, and meeting preparation.

Drive strategic projects and initiatives, collaborating with cross-functional teams to deliver results.

Manage conflicting priorities, meeting deadlines and exceeding expectations in a fast-paced environment.

Stay up-to-date with industry trends, best practices, and regulatory requirements, applying this knowledge to drive continuous improvement.

Ensure seamless communication and collaboration between the executive team and other departments.

Maintain confidentiality and handle sensitive information with discretion.

Anticipate and mitigate potential issues, providing proactive solutions to ensure smooth operations.

Build and maintain a network of contacts, fostering partnerships and collaborations that benefit the organisation.

Conduct research, gather data, and prepare reports to inform decision-making and drive business outcomes.


Requirements

To be successful in this role, you will require:

* Proven experience as an Executive Assistant or in a similar administrative role.
* Exceptional organisational and time management skills, with the ability to prioritise tasks and manage multiple projects simultaneously.
* Excellent communication and interpersonal skills, with the ability to build strong relationships with diverse stakeholders.
* Highly developed problem-solving and analytical skills, with the ability to think critically and creatively.
* Ability to work independently and as part of a team, with a flexible and adaptable approach to changing priorities and deadlines.
* Proficiency in Microsoft Office and Google Suite, with experience using cloud-based tools and software.
* Strong attention to detail and ability to maintain confidentiality and discretion when handling sensitive information.
* Capacity to work in a fast-paced environment, managing competing priorities and deadlines while maintaining a high level of professionalism.
