Pathways & Programs Coordinator
AMDA Foundation, organiser of the Avalon Airshow, is seeking an organised and proactive Pathways & Programs Coordinator to support the delivery of our workforce pathways and large-scale volunteer programs.

We are an Australian not-for-profit corporation established to promote the development of aviation and Australia’s industrial, manufacturing and information/communications technology resources in the fields of aviation, aerospace, maritime, defence and security.
We achieve these goals by delivering Australia’s most prominent and respected world-class biennial industry expositions as platforms for interaction between industry, defence, government and academia.
The major events conducted by AMDA include:
* Avalon Australian International Airshow
* RotorTech Helicopter and Uncrewed Flight Exposition
* Indo Pacific International Maritime Exposition
* Land Forces International Land Defence Exposition
* Indian Ocean Defence and Security Conference
About the role:
This position is a permanent, full-time role.
Key Responsibilities:
* Assisting with program scheduling and coordination
* Supporting industry and education stakeholder communications
* Coordinating and managing of the presenter logistics and documentation
* Coordinating student registrations and data management
* Assisting and coordinating the preparation of program materials (student passports, schedules, briefing documents)
* Liaising with internal teams regarding venue allocation, catering and AV requirements
* Supporting website content updates and promotional coordination with Strategic Engagement.
* Assisting and coordinating post-event survey feedback, reporting and data analysis of the surveys
* Supporting and compiling grant documentation as required
* Providing on-site coordination support during program delivery
Key Selection Criteria:
* Administration and Program Coordination Demonstrated ability to manage administrative processes, maintain accurate records, and track program activities, data, and reporting requirements with a high level of attention to detail.
* Stakeholder Engagement and Communication Strong communication and interpersonal skills with the ability to build positive relationships with internal teams, volunteers, and external stakeholders. Experience supporting recruitment processes including interviews, inductions, and ongoing engagement.
* Volunteer and Event Coordination Proven organisational skills with experience coordinating volunteers or personnel within programs or events. Ability to manage schedules, logistics, and on-site support to ensure smooth operations in dynamic environments.
* Adaptability and Problem Solving Ability to work effectively in fast-paced environments, manage competing priorities, and respond to challenges with a calm, solutions-focused approach
