We're on the lookout for an experienced Administration Officer to support the smooth running of our practice.
About the Role
In this key role, you will be the first point of contact for our clinic, and will be central to maintaining efficient administrative operations. You'll work closely with our therapists, patients, and fellow team members to ensure everything runs like clockwork.
Your day-to-day will include:
1. Leading and supporting our junior admin staff with a collaborative and nurturing approach
2. Organising patient bookings to maximise patient care and clinician efficiency
3. Handling a wide variety of patient and team enquiries (both in person and over the phone)
4. Using and maintaining our practice management software (Pracsuite)
5. Supporting business managers with workflow systems and growth strategies
6. Managing clinic accounts, invoicing, reconciliation (incl. PRODA, Medicare, and 3rd party payers)
7. Liasing with suppliers and maintaining clinic stock levels
8. Assisting with clinic compliance and maintaining tidy, well-maintained clinic spaces
9. Problem-solving operational issues (IT, phones, errands, equipment repairs)
What We're Looking For
You're someone who is:
* Friendly, personable, and a natural communicator
* Highly organised and a confident multitasker
* Experienced in healthcare administration and using practice management software
* Skilled with Microsoft 365 and general computer systems
* Professional with a polished phone manner
* Comfortable managing accounts and 3rd party payers (Workers Comp, CTP, DVA, NDIS, PRODA)
* Capable of mentoring junior team members
* Proactive and solution-focused
* Experience in health administration is highly preferred .
