Your Opportunity
The Youth Accommodation Support Services (YASS) provides support, assistance and accommodation for young people who are experiencing or are at risk of homelessness. The service provides support to vulnerable young people by connecting them to school, work, vocational training, and other support services whilst assisting them to obtain long term housing.
Based in Victoria Park as our Administration Officer you will support the effective operation of the YASS service, where you'll be responsible for ensuring the smooth functioning of our reception area, providing essential information and assistance to those seeking support, and managing appointments for assistance. Your role will demand a high level of judgment, initiative, and sensitivity, as you provide confidential administrative support crucial to our services success. From managing diverse administrative tasks to supporting our team in delivering contractual outcomes, your contribution will be invaluable. As the welcoming face for vulnerable young people accessing our services, you'll be their first point of contact, handling service calls, emails, and maintaining accurate records.
Your Key Responsibilities
• Provide a welcoming, respectful and supportive first point of contact for young people, visitors and stakeholders accessing the service.
• Manage reception and office administration including phone and email enquiries, appointment bookings and record keeping.
• Provide high level administrative support to the Program Manager, including meeting coordination, minute taking and diary support.
• Maintain accurate data entry, filing systems and SharePoint documentation in line with confidentiality and compliance requirements.
• Support financial and procurement processes including ordering supplies, accounts payable and basic budget assistance.
• Coordinate office operations including fleet management, building maintenance requests and workplace health and safety tasks.
• Assist the team to meet contractual, reporting and quality requirements through timely administrative support.
Requirements for Success
* Relevant qualifications (e.g. Certificate in Business Administration) - highly regarded
* Demonstrated experience in an administrative role, ideally within youth, homelessness or community services settings.
* Proven ability to work respectfully and confidently with vulnerable young people, including those with complex needs.
* Strong organisational skills with the ability to manage competing priorities in a fast-paced environment.
* Well-developed written and verbal communication skills with a professional and person-centred approach.
* Proficiency in Microsoft Office and confidence using databases, online systems and records management tools.
* Solutions focused mindset with sound judgement, initiative and problem-solving capability.
* Full driver licence with no restrictions.
Before starting work with us, you will need to undertake a national police history check, qualifications, and referee checks, and have a clearance to work with children/vulnerable people.
