Position Description

546768 – Administration Officer - Medical Oncology

Calvary Mater Newcastle

Temporary (18 months) – Part-Time (0.6fte)

Salary Classification: Administration Officer Level 3, Year 1 - 2 Remuneration: $35.84 to $36.96 per hour l range + superannuation + annual leave loading + salary packaging options. Requirement to work three (3) days per week with Fridays being a required work day.

About The Role

Administration Officer provides comprehensive administrative assistance to the Medical Oncology teams including timely and accurate requests of pathology and radiological results, writing and circulation of meeting agendas, attending meetings, compiling meeting data, compile and distribute meeting recommendation letters as appropriate.

Medical Oncologists work within multidisciplinary groups (including radiation Oncologists, Surgeons, Haematologists, palliative Care Physicians, Nursing & Allied Health Professionals) bringing together a wide range of skilled professionals to deliver the best current available care for cancer patients within in integrated cancer centre.

Key Responsibilities

Provides comprehensive administrative assistance, including telephone calls, taking messages, collection and distribution of mail, preparing correspondence and documentation, filing, maintaining diary, arranging meetings, agendas and minutes; sending emails, arranging catering, preparation of presentation and conference material; and other administrative duties as directed.Scheduling and rescheduling of patient appointments and the preparation and distribution of patient referrals and relevant medical documentation and records.Provide relief for other administrative staff as required and perform other duties appropriate at the level of responsibilities adhering to the Departments requirements and work computer literacy including use of Medical Oncology ARIA data and patient management systems, Microsoft Office suite, scanning technology, use of Dictaphone and working knowledge of calendar management systems, email, internet and videoconference equipment including software.Demonstrate flexibility that meets the changing needs of the Department and work environment.

What You Bring

Proven ability to work unsupervised and manage competing priorities.Strong organisational and multi-tasking skills with demonstrated in administrative and general office procedures.Excellent communication and interpersonal skills.Ability to work effectively within a multidisciplinary team.

Desirable Criteria:

Experience with hospital systems: ARIA, iPMS, CAP, WebpacsWorking knowledge of medical terminology and / or experience in a healthcare office or patient administration environment
