A GREAT OPPORTUNITY FOR A TENDER / PROPOSAL COORDINATOR

AC Laser is seeking a highly organised and detail-oriented Tender / Proposal Coordinator to join our Sales / Business Development team.


Position Overview

The Tender / Proposal Coordinator is responsible for managing the end-to-end preparation of tenders, proposals, and submissions for council, government, and commercial manufacturing projects. This role ensures all submission requirements are met, documentation is accurate, and deadlines are strictly adhered to. The Tender / Proposal Coordinator works closely with internal teams to gather technical, operational, and financial information and prepares high-quality proposals that maximise the company's chances of winning new work.

Key Responsibilities


Tender & Proposal Preparation

* Manage the full tender process, including reading tender documents, identifying requirements, and preparing submission timelines.
* Prepare high-quality written proposals, capability statements, pricing schedules, and supporting documentation.
* Ensure all submissions are compliant with tender specifications, evaluation criteria, and mandatory requirements.


Coordination & Information Gathering

* Liaise with internal departments (sales, engineering, production, finance, management) to gather technical information, pricing, timelines, and company data.
* Coordinate inputs from multiple team members and compile into a cohesive submission.
* Maintain a central library of standard tender content, templates, policies, certifications, and project examples.


Tender Tracking & Administration

* Monitor tender portals (local council, state government, federal government, procurement sites) for new opportunities.
* Maintain a tender register with due dates, status updates, and submission outcomes.
* Ensure all lodged tenders are submitted on time and according to format requirements (online, email, portal upload, hard copy, etc.).


Compliance & Quality Assurance

* Review tender requirements to identify compliance risks or clarifications needed.
* Coordinate clarifications, RFIs, and communication with tendering bodies.
* Ensure quality, accuracy, and consistency across all submissions.


Supporting Business Development

* Assist the business in identifying new tender opportunities in line with company capabilities.
* Prepare supporting documents such as insurances, SWMS, risk assessments, project references, and capability profiles.
* Support the sales and management team by preparing formal quotes or proposals outside of the formal tender process when required.

* Excellent organisational and time-management abilities
* High attention to detail and accuracy
* Ability to manage multiple deadlines and competing priorities
* Strong analytical and problem-solving skills
* Confident working independently and coordinating across departments
* Ability to interpret tender specifications, technical documents, and compliance requirements
* Professional presentation and communication skills


Experience & Qualifications (Preferred)

* Previous experience in tendering, proposal writing, bids coordination, or similar documentation-heavy role
* Experience with council or government tender processes (highly regarded)
* Knowledge of manufacturing industry or technical products (preferred but not essential)
* Strong competency in MS Office (Word, Excel, PowerPoint, PDF editing)
* Experience using tender portals (VendorPanel, Buying for Victoria, Tenderlink, AusTender, etc.)


Additional Information

* Full-time or part-time options available depending on business needs
* May require occasional after-hours work close to submission deadlines
* Training can be provided on internal processes and manufacturing capabilities
