Role Overview

The Board Administrator is responsible for providing high quality support to the Company Secretaries. This includes providing executive-level administrative support, managing and undertaking the preparation and administration of Board and Executive meetings, and supporting the Company Secretaries in ensuring corporate governance compliance.

Responsibilities

* Provide direct administrative assistance to the Company Secretaries, including calendar management, filing, printing/preparing papers for meetings, and coordinating Board/Committee Action items.
* Offer confidential and timely administrative support to the Corporate Governance team, maintaining company registers, preparing reports, submissions, spreadsheets, flowcharts, presentations, and maintaining annual planners/calendars, schedules, master documents, and tracking tools.
* Liaise, coordinate, and timely prepare and publish Board and Executive Committee meeting agendas, papers, submissions, presentations, and registers of action items and decisions. Produce and collate hard copy materials as required.
* Fulfil requests for information from the business related to the Group Corporate Governance team, including during internal and external audits.
* Manage diaries, coordinate and organise Board and Executive meetings, functions, site visits, and screen visitors and enquiries.
* Perform other general administration duties as directed.
* Liaise between the Group Corporate Governance team, Board, Executives, business units, and service providers to ensure efficient operation.
* Present a positive and professional image of the Group Corporate Governance team to all stakeholders, ensuring confidence is maintained and information remains confidential.
* Provide timely investigative, research, and analytical assistance, including analysing, developing, and maintaining processes and reporting for business systems, and supporting research on corporate governance subjects, technologies, practices, and procedures.

Qualifications

* Demonstrated competency with administrative tasks and an enthusiastic self‐starter who can work autonomously, establish priorities, and take a proactive approach to problem solving and driving outcomes.
* Excellent attention to detail, organisational and time management skills with a strong capacity to work under pressure, be a logical thinker and multi‐task within tight deadlines.
* Strong ability to manage matters of a confidential and sensitive nature.
* Outstanding written, oral, and interpersonal communication, including the ability to liaise with and manage internal and external stakeholders.
* Ability to build and maintain relationships with a diverse range of internal and external clients, including the A&G Group's Executives and Board members.
* High level of skill in the use of IT applications including Microsoft Office, Google Suite and Board portals (e.g. Diligent).
