Membership & Operations Officer
Duration and hours

This will be a fixed term position part-time 0.8 FTE until 30 June 2027 with the potential for ongoing opportunities.

About Neighbourhood Houses Tasmania (NHT)

Neighbourhood Houses Tasmania (NHT) is the peak body for the network of Neighbourhood Houses across Tasmania. NHT provides policy, advocacy, development, information and resources for Members and represents the Network in government and community forums.

NHT and each individual Neighbourhood House are independent entities. NHT is not the decision-making body for Houses, but exists to represent, resource, and enable Houses in Tasmania.

What are Neighbourhood Houses?

Neighbourhood Houses are independent community-led organisations. Using a community development model, Neighbourhood Houses offer a wide range of programs and activities to support their local community and make a meaningful difference in people's lives. They are the hearts of their communities, bringing people together to connect, learn and contribute through social, educational, recreational, and support activities.

Position in the organisation

Reports to Chief Executive Officer.

Works closely with NHT staff team, member Houses and external partners.

Acts as:

· First point of contact for members and stakeholders

· Internal connector to ensure the smooth running of operations and membership engagement

Pay and conditions

The terms and conditions are those applying under the National Social, Community, Home Care and Disability Services (SCHCADS) Industry Award 2010. The position is classified at SCHCADS Level 4.

Superannuation will be paid at the mandated level to the fund of choice.

Role Purpose

The role is informed by the NHT Member Engagement Strategy. This role has two clear areas of work

1. Front of house and operational support

The Membership and Operations Officer is the front door to Neighbourhood Houses Tasmania (NHT) and plays a key role in ensuring members and stakeholders experience NHT as professional, welcoming and supportive.

2. Coordinating member experience and engagement

While member engagement is shared across the NHT team, this role ensures specific member-facing functions are coordinated and undertaken.


Key Responsibilities
1. Front of House, Operations & Financial Administration

· Act as the first point of contact for member and stakeholder enquiries (phone, email, in person), ensuring enquiries are directed appropriately

· Coordinate day-to-day office operations, building administration and shared spaces

· Liaise with tenants and contractors and support building maintenance and compliance requirements

· Maintain operational systems, records, calendars and contact databases to support effective work across the organisation

· Provide administrative and logistical support to the CEO and staff team, enabling smooth workflows and follow-through

· Support meetings, consultations, forums and events by:

o coordinating logistics and documentation

o preparing agendas in consultation with staff

o recording and distributing minutes and action items

· Support [TN1] operational financial administration, working collaboratively with the Finance Officer, including:

o processing invoices and purchase documentation

o reconciling credit card receipts

o managing training room bookings, invoicing and records

o ensuring accurate and timely data entry across finance systems

· Support accuracy and currency of organisational records and compliance reporting, including systems such as Australian Charities and Not-For-Profits Commission, Consumer, Building and Occupational Services (CBOS), insurers and SmartyGrants[JN2]

· Ensure the NHT office presents as welcoming, organised and professional at all times.

2. Membership and Engagement

· Promote the value of NHT membership

· Coordinate NHT membership benefits, ensuring they are current, well communicated and easy to access

· Support the delivery of key member engagement activities across the NHT team, including:

o publishing The Monday fortnightly enewsletter[TN3]

o supporting regional gatherings, chairs and leaders forums

o supporting the delivery of the annual NHT Conference

· Co-ordinate management of membership records, databases and distribution lists

· Act as an internal connector, supporting alignment across:

o member engagement and consultation activities

o advocacy priorities and campaigns

o partnerships and sector memberships (e.g. Volunteering Tasmania, TCCI, ANHCA)

o resources and tools (policies, templates, handbooks and operational guides)

o learning, forums, conferences and networking opportunities

· Support implementation of the Member Engagement Strategy

· Assist with monitoring and continuous improvement through:

o member surveys

o event feedback

o informal member insights.

Time Focus (Indicative)

· 50–60% Front of House, Operations & Financial Administration

· 40–50% Membership Experience

This balance may shift at peak times (e.g. Neighbourhood House Week, conference, renewals).

Capabilities & Ways of Working

· Strong interpersonal and communication skills,

· Understand the role of a peak body with a focus on members

· Ability to balance operational detail, financial accuracy and strategic awareness

· Confidence acting as the front door of an organisation and representing its values

· Highly organised, systems ‐oriented and proactive

· Comfortable working closely with the CEO to enable leadership effectiveness

· Ability to manage sensitive information with confidentiality and discretion

· Commitment to continuous improvement and reflective practice

Good character check

The position requires a valid National Police Check and Working with Vulnerable Persons Registration.

Personal qualities, skills and experience – Selection Criteria

The successful applicant will be able to demonstrate:

1. Experience supporting members and other stakeholders in an administrative or community facing role, with a focus on being responsive, organised and easy to engage with.

2. Demonstrated ability to coordinate membership and engagement systems and activities, including managing records, databases and distribution lists, and supporting the delivery of communications, events, forums or newsletters.

3. Strong organisational and coordination skills, with the ability to manage multiple tasks, prioritise competing demands, follow through on commitments, and support the smooth delivery of activities across a small team.

4. Clear and respectful communication skills, including the ability to engage confidently with members and partners, provide clear written information, and prepare accurate documentation and communications.

5. Experience or capability in administrative and financial support, including accurate data entry, invoice processing, record‐keeping and attention to detail, and the ability to work collaboratively with others on shared systems.

6. A values aligned approach to work, including a commitment to social justice, community development, confidentiality and ethical practice, and a willingness to contribute positively to a collaborative, supportive workplace culture.

Desirable

The following would be well regarded:

1. Experience using financial software packages consistent with current accounting and reporting practices

2. Experience supporting or coordinating events

3. A current driver's license, with the capacity to travel occasionally within Tasmania

The working environment

· The position will be located at the NHT office, 16B Elmsleigh Road, Derwent Park.

· Travel within Tasmania is occasionally required, with some overnight trips.

· NHT team members have access to a pool car.

· NHT supports flexible working arrangements including the ability to work from home (where appropriate and pre-approval process is considered)
