The Role:
As our Personal Assistant, you will be the cornerstone of our Director's efficiency. You will provide comprehensive administrative and secretarial support, ensuring seamless operations and effective communication. This role demands exceptional organisational skills, meticulous attention to detail, and the ability to manage competing priorities in a fast-paced environment.
Key Responsibilities:
* Executive Support: Provide high-level administrative and secretarial support to the Director.
* Diary & Travel Management: Manage complex diaries, schedule meetings, and arrange travel logistics.
* Document Management: Prepare, collate, and distribute reports, business papers, and correspondence efficiently.
* Action Management: Prioritise tasks, follow up on delegated actions, and ensure deadlines are met.
* Communication & Liaison: Act as a point of contact, handling inquiries and referring matters appropriately.
* Meeting Support: Take accurate minutes, prepare agendas, and ensure follow-up actions are completed.
* Process Improvement: Review and implement improvements to administrative operating practices.
* Team Leadership: Train, mentor, and supervise other support staff.
* Project Management: Assist with special projects as assigned by the Director.
What We're Looking For:
* Proven experience as a Personal Assistant, ideally supporting the Director in executive support functions.
* Exceptional organisational and time-management skills.
* Strong written and verbal communication abilities.
* Proficiency in Microsoft Office Suite.
* Ability to maintain confidentiality and exercise discretion.
* Proactive and solution-oriented approach.
* Experience taking accurate minutes.
* Experience mentoring or training other support staff.
