About the Opportunity
We're looking for a highly organised and proactive Business Administration Officer to provide exceptional administrative support to our regional team and Corporate Services function. Reporting directly to the Office Manager, this role acts as a key support and natural 2IC, ensuring the smooth day‐to‐day running of the office and helping maintain high standards across all administrative processes.
You'll play a central role in office coordination, process administration, and customer service, while also informally mentoring two administrative team members through day‐to‐day guidance, sharing knowledge, and helping embed best practice.
You'll work closely with the Office Manager across a range of business activities and will bring strong technical capability, particularly with Dynamics 365 (D365), to maintain data accuracy and support financial and operational workflows.
Responsibilities include;
* A key component of this role is to manage data entry and financial processes within D365, including invoicing, timesheets, reconciliations, and transaction processing
* Provide high‐quality administrative support including scheduling, diary coordination, inbox management, recordkeeping, and preparing documents and presentations
* Assist the Office Manager and act as their trusted 2IC during busy periods or when delegated tasks
* Offer support and mentorship to two administrative team members to ensure consistent standards and knowledge sharing
* Maintain office operations including supplies, shared spaces, vendor relationships, mail, couriers, and reception duties
* Support event coordination including social, CSR, and DEI initiatives
* Assist with staff onboarding, promotions, exits, and SharePoint updates
* Maintain accurate records within the TBH Integrated Management System and support QA audit requirements
* Coordinate travel bookings, accommodation, and transport logistics
* Conduct internal project audits and ensure compliance with administrative processes
* Maintain databases, contact lists, and document archives in line with retention requirements
* Take ownership of administrative queries and resolve them with a customer‐focused approach
What you'll bring
As our successful candidate you'll bring:
* 5+ years previous administrative experience with 2-3years experience in equivalent role
* Intermediate skills in Microsoft Office, particularly Word, Excel, Outlook, PowerPoint and SharePoint
* Experience in conducting internal audits of quality systems (desirable)
* Strong problem-solving skills
* Clear written and verbal communication ability
* Strong use of initiative with a focus on process efficiency
* Professional, reliable, and client-focused approach.
