This position works closely with the Chief Marketing Officer to ensure the smooth functioning of all their daily activities and to provide a customer-focused, responsive, and professional service at all times.

Duties include:
1. Diarize and manage all internal and external appointments for the Chief Marketing Officer, and communicate on their behalf when they are absent or unavailable.
2. Be contactable and available for the Chief Marketing Officer.
3. Provide a full range of administrative support services including filing, records management, mail, photocopying, report writing, and minute taking.
4. Assist with marketing team rosters and leave tracking.
5. Help collate timesheets for the marketing department, ensuring accuracy and approval by the Chief Marketing Officer before forwarding to payroll.
6. Collect and disseminate information on behalf of the Chief Marketing Officer, maintaining confidentiality and integrity.
7. Assist in managing and coordinating sponsorship and tourism industry tours at Australia Zoo.
8. Manage correspondence, including emails and letters, drafting responses aligned with business priorities, and flagging urgent matters.
9. Support planning and execution of key monthly and annual events such as the Steve Irwin Gala Dinner and promotional events.
10. Assist with social media monitoring as per PR guidelines.
11. Support the Wedding and Events Executive during weddings, zoo, and special events.
12. Evaluate and update administrative and resourcing systems as needed.
13. Assist with invoicing and purchase orders for the marketing department.
14. Manage Crikey! Subscriptions and provide administrative support with emails, reports, and print lists.
15. Assist with adoptions when required.
16. Support sales and marketing activities, including managing the Sales Inbox.
17. Perform other duties as directed by the Chief Marketing Officer and Australia Zoo management.
Essential Criteria:
* Hold a current Driver’s Licence (manual preferred).
* Availability to work weekends, public holidays, and school holiday periods.
* Proficiency in computer literacy.
* Maintain professional discretion.
* Knowledge of the industry and sector.
* Ability to interact maturely with people.
