Reception and Administrative Support (Accounts Receivable Focus)

What You’ll Be Doing
This isn’t just an Administration role, it’s the central force in our day-to-day operations.
Reception Duties
* Be the right hand to our sales team: schedule meetings, welcoming clients, confirm receipt of correspondence, pass on messages and follow up on the dispatch and delivery of our products
* Own the CRM — maintaining clean, accurate, and up-to-date records (we LOVE organised data)
* Liaise between sales, marketing, production, and accounts to keep communication flowing and clients happy
Accounts Receivable & Client Support
* Assist with invoicing, payment follow-ups, and account tracking
* Monitor outstanding accounts and communicate professionally with clients regarding payment timelines
* Liaise with the accounts department to support holds, adjustments, and account queries
* Maintain accurate financial records related to client accounts and agreements
* Help reduce account stress by proactively identifying and escalating issues early
Administrative Support
* Assist with onboarding new clients and ensuring all documentation is complete and compliant
* Help keep the office (or virtual office!) organised, positive, and productive
* Support ad-hoc projects that keep the business moving forward
* Send our clients products in an organised and accurate manner with efficiency
What You Bring
* Previous experience in reception, office administration, accounts receivable, or a similar role
* Superpower-level organisational and multitasking skills
* Excellent communication skills: written, verbal, and everything in between
* Tech-savvy: experience with CRM systems (e.g. Salesforce),Xero, Excel, and Microsoft or Google Suite
* A proactive mindset, you anticipate problems before they become problems, answering questions thoroughly, leaving our customers feeling confident and completely supported.
* A calm, can-do attitude and a sense of humour under pressure
