The Role
We are seeking a capable, proactive Office Administrator / Office Manager to take ownership of the day-to-day administrative and office operations of the business, supported by another admin resource.
This is a broad, hands-on role that touches most parts of the organisation — finance administration, payroll, customer communication, compliance documentation, and general office coordination. It is ideal for someone who enjoys variety, responsibility, and improving how things are done.
There is significant scope for growth as the business scales and systems are upgraded.
Key Responsibilities
General Office Administration
* Day-to-day office administration and coordination
* Supporting the Managing Director with administrative tasks
* Maintaining organised documentation and records
* Acting as a central point of coordination across office, purchasing, and production
Accounts & Payroll
* Accounts Receivable (invoicing, follow-ups, customer queries)
* Accounts Payable (supplier invoices, reconciliations)
* Supporting payroll processing (weekly payroll)
* Working with Xero and related systems
Customer Communication & Front of House
* Answering and directing incoming phone calls
* Responding to customer emails and enquiries
* Supporting a professional front-of-house experience
Operational & Compliance Support
* Supporting purchasing and production with defined administrative tasks
* Maintaining OH&S documentation, registers, and records
* Assisting with compliance and audit preparation
* Supporting internal processes and controls
Marketing & Systems Support
* Minor marketing support (website updates, social media, basic content coordination)
* Supporting upgrades to office systems and tools
* Helping improve workflows, templates, and ways of working
About You
You are a reliable, organised, and proactive office professional who enjoys being the person who keeps things running smoothly.
You likely have experience in an Office Administrator, Office Manager, or similar role and are comfortable juggling multiple responsibilities while maintaining attention to detail.

Experience & skills:
* Strong experience with Microsoft 365 (Outlook, Excel, Word, Teams)
* Experience using Xero (or similar accounting software)
* Comfortable with payroll, AR/AP, and reconciliations
* Experience with office systems, collaboration tools, and documentation
* Experience with AI software to efficiently deliver outputs
* Ability to steer work, follow up with others, and keep things moving
Manufacturing or trade-based industry experience is advantageous but not essential.
