We are looking for a highly organised, proactive and professional Executive Operations Coordinator to join our Oceania team. This is a key role supporting the CEO and wider leadership team through a combination of executive coordination, reporting, project support and business administration.
Working closely with the CEO and senior leadership team, you will help keep priorities moving, support national business initiatives and gain valuable exposure to how a growing business operates at an executive level. This is a fantastic opportunity to learn from experienced leaders, build strong commercial awareness and contribute to meaningful business outcomes. The role will also involve some travel to support conferences, leadership events and other business activities.
Key Responsibilities
* Provide high-level and confidential support to the CEO
* Work closely with the CEO and leadership team to support key business priorities
* Manage executive calendars, meetings, travel and correspondence
* Prepare reports, presentations, board papers and meeting documentation
* Coordinate executive and leadership meetings, including agendas, minutes and action tracking
* Prepare weekly, monthly and ad hoc business reports
* Track key actions, deadlines and deliverables across business initiatives
* Coordinate national projects and support follow-up across departments
* Liaise with internal teams, external suppliers and global stakeholders
* Support office administration, facilities coordination and supplier relationships
* Assist with internal communications, presentations and business documents
* Coordinate travel and provide on-the-ground support for conferences, leadership events and other business activities
* Contribute to improving reporting processes, administrative systems and workflows
* Help ensure executive priorities are followed through in a timely and professional manner
About You
You are an organised and capable professional who is comfortable working at pace, managing competing priorities and supporting senior leaders with professionalism and discretion.
You will bring:
* 5+ years' experience in an executive support, coordination or senior administrative role
* Experience supporting senior executives or leadership teams
* Strong organisational skills and the ability to manage multiple priorities
* Strong written communication and presentation skills
* Advanced Microsoft Office skills, including Word, Excel, PowerPoint and Outlook
* A high level of professionalism, discretion and confidentiality
* Confidence working across reporting, coordination and project support
* A proactive approach and the ability to work with limited supervision
* A willingness to learn, grow and build strong commercial and operational understanding
* Willingness to travel from time to time as required
* Experience in logistics, shipping, transport or a corporate environment will be highly regarded
