Job tasks and responsibilities
- This is a hands on role and you will be reporting to the Financial Manager. This is an opportunity for someone to do accounts and admin in a good team environment. Your duties will include but not be limited to:
- Process all import freight supplier invoices, ensuring accuracy of charges, correct currency, landed-cost components, and alignment with supporting documentation (e.g., bills of lading, freight schedules).
- Verify approvals prior to entry and follow up with internal stakeholders where clarification is required.
- Enter invoices into SAP promptly and accurately, supporting the International and Domestic Accounts Payable teams with timely processing to meet payment
- Complete daily cash allocations
- Share responsibility in processing customer credit card payments as required
- Share responsibility for downloading and uploading daily bank statements for allocation purposes.
- Accurately allocate customer payments against invoices, credit notes, and accounts, ensuring they are posted to the correct customer and the correct entity.
- Liaise with customers and internal stakeholders to obtain missing or unclear remittance advices.
- Investigate and resolve unallocated or misapplied payments in a timely manner.
- Support month-end closing by ensuring all cash receipts are fully allocated by cut-off.
- Leave coverage as required
- Monitor and replenish office supplies including stationery, kitchen items, and general consumables to ensure the office remains well-stocked and functional.
- Coordinate and manage contractors and service providers relating to office maintenance, cleaning, repairs, and general building support, ensuring work is completed to required standards.
- Maintain office equipment and facilities, arranging repairs, servicing, or replacements as needed (e.g., printers, meeting room equipment, kitchen appliances).
- Assist with organising office functions such as morning teas and staff gatherings
- Provide general office support and ad hoc assistance to employees and management, helping to maintain a clean, organised, and efficient working setting.
