Job Title: Support Operations Associate
This is a fantastic opportunity to join our dynamic team as a Support Operations Associate. In this role, you will be responsible for providing administrative support across the site, ensuring seamless operations and fostering a culture of growth and continuous improvement.
Main Responsibilities:
* Organise and ensure all relevant mail room supplies are ordered and in stock;
* Organise and send mail via courier services (local and interstate);
* Manage daily corporate mail through postal services, ensuring proper documentation is followed;
* Receive and disperse of daily mail, as collected via the warehouse;
* Generate purchase orders for various departments;
* Receipting and organising invoices from vendors, ensuring timely payment;
* Weekly checking of invoices for various vendors;
* Perform necessary down payments for urgent payments required;
* Set up new vendors, as required;
* Book first aid / safety courses for staff at site;
* Ensure EHS's licence register is kept up to date with new licences and all relevant expiry dates;
* Update SharePoint licence register with new and existing licences;
* Process expenses via Concur;
* Design and prepare communications for site events;
* Assist with catering requirements;
* Book travel and accommodation periodically;
* Assist with site events;
* Meet and host contractors, clients, vendors around site, including entering details into CCURE system;
* COS stationery ordering for contract cleaners;
* Assist with arrangement of site tours, both Carole Park and Bundamba;
* Organise Meeting Room Capacity Equipment Data to remain updated periodically throughout the year;
* Maintain a friendly and professional Reception area;
* Operate relevant office equipment, continually follow, and evaluate procedures and policies;
About You:
* Prior experience in administration;
* Advanced computer skills in Microsoft Office;
* Prior experience with SAP;
* Able to build rapport and relationships by establishing a positive connection with others, and demonstrating interpersonal sensitivity and confidentiality;
* Good written and verbal communication skills to express ideas and exchange information with others;
* Able to work from a customer perspective to ensure customer satisfaction by focusing on customers' needs to drive the solution;
* Capable of reaching an appropriate decision in a timely manner;
* Able to plan work, projects, organise by setting priorities, formulating a method of course of action for self;
* Able to multi-task and evolve role;
* Assertive, tenacious, and resilient approach - 'can do' attitude and 'never give up' spirit;
* Responsible for ensuring that all work they perform is of a high standard;
* Able to work autonomously or within a team environment as required;
