About the Role Vida Glow is seeking a detail-oriented and process-driven Sales Coordinator to manage and streamline administrative processes across all sales functions. This includes, but is not limited to, reporting, forecasting, order processing and tracking, and liaising with retail partners and distributors. Success in this role will require exceptional attention to detail and strong organisational skills.
The Sales Coordinator will play a vital role in supporting Customer Service to elevate the Vida Glow consumer experience. You will also be a key partner to the Sales and Education team, helping to implement processes and procedures that enable the team to execute strategic priorities effectively and efficiently.
Key Responsibilities Work collaboratively with colleagues from Sales, Education, Innovation, Marketing, Creative, Operations and Finance Teams.Support the sales team with general operations to help reach the team's objectives.Contribute to Sales team meetings and relevant projects with a 'Customer Centric' view.Manage the cross-functional sales reporting process, ensuring required deadlines are achieved.Coordinate, update and track retail and promotional calendars.All order processing for B2B channels globally including purchase orders, samples, GWP's, testers, gratis and gifting.Manage in collaboration with the Operations team the dispatch of wholesale purchase orders with the relevant warehouse in each market.Work with the Finance and the warehouse team to ensure accuracy in shipping and invoices.Support the sales team with communication of all NPD launches, including building out the retailer EDM.Coordinate and complete retail partner documentation.Ensure all retail partner contacts are managed and CRM system is optimised.Ensure accurate records of all customer data.Work with the Ecommerce Manager to update B2B Portal including Marketing Assets, NPD, Out of Stock.Marketing: Assist in competitive surveys across communications, pricing, new product launches.Support the sales team with the Creative briefing process as needed.Ensure marketing assets for new launches are uploaded onto retailer and B2B portals.Assist sales team with event and promotion planning in coordination with the Marketing department.Customer Service Support the Customer Service Team with day-to-day operations to enhance the Vida Glow consumer experience.Ensure all shipping certificates & documentations are obtained & followed through to delivery.Liaise with the warehouse and operations team to ensure timely deliveries.Communicate internally important feedback from customers.Manage the process of dealing with retail partner delivery and quality issues.Stay up to date with new products and features.Ecommerce Support Keep regular review of all stockist websites to ensure representation is 'on brand'.Work with Ecommerce manager to support the implementation of the business-to-business portal for Vida Glow stockists.Work with Ecommerce manager to build and implement a knowledge bank.Required Knowledge and Experience Proven work experience as a Sales administrator or Sales support agent.Hands-on experience with CRM software and MS Office (MS Excel in particular).High attention to detail.Ability to use initiative.Experience working in roles that are highly process-driven.Understanding and familiarity working with various platforms and systems.Experience and skill around data entry.Must be efficient and able to juggle multiple tasks at any one time.A team player with a high level of dedication.Ability to work under strict deadlines.Ensure reliability in information provided & accuracy.Working at Vida Glow Whilst working at our beautifully architecturally designed office in North Sydney you will enjoy:
