Secretariat Officer Job Description
We are seeking an experienced and skilled Secretariat Officer to provide administrative support and ensure the smooth operation of our office.
The ideal candidate will have excellent organizational, communication, and problem-solving skills, with the ability to work independently and as part of a team.
Key Responsibilities:
* Support procurement processes by researching and recommending suppliers, preparing contracts, and tracking orders.
* Plan and coordinate travel arrangements for staff, including booking flights, hotels, and rental cars.
* Communicate effectively with internal and external stakeholders, providing exceptional customer service and ensuring timely responses to inquiries.
* Manage financial transactions, including invoicing and expense reporting, to ensure accurate and up-to-date records.
* Analyze and interpret statistical data, preparing reports and presenting findings to support business decisions.
* Organize and execute events, conferences, and meetings, ensuring seamless execution and positive outcomes.
* Process invoices and payments, maintaining accurate records and ensuring compliance with company policies.
* Take minutes during committee meetings, capturing key decisions and action items.
Requirements:
* Demonstrate flexibility and adaptability in a fast-paced environment.
* Hold Australia citizenship or possess relevant visa requirements.
* Meet the baseline personnel security clearance standards.
