Leading key MNC client in the IT industry seeks a Customer Service focused Facilities Coordinator within a corporate environment. Location: Brisbane, Land of the Turrbal people.
About the Role
As a CBRE Facilities Coordinator, you will work with clients, vendors, and contractors to ensure that facility tasks and work orders are complete. This role is crucial in supporting contract operations and acts as the link between client (requestors) and CBRE.
Key Responsibilities
* Managing client's day-to-day operational and maintenance facility requirements
* Undertaking administrative duties and supporting employee meetings & events
* Logging and tracking all maintenance requests, PPM and expenditure using appropriate maintenance software
* Managing CBRE and client contractors
* Ensuring WHSE policies, procedures and requirements are met and maintained
* Ensuring all position KPIs are achieved
* Assisting in various facilities project works
* Ensuring all areas of the tenancies are fully operational and clean
* Liaising with client, CBRE personnel and external service providers as necessary to fulfil the role
* Working with building management, external vendors and contractors to resolve issues in a timely and professional manner
* Managing general maintenance requests and repairs
* Ensuring sub-contractors/suppliers are effectively managed to deliver services in accordance with the contract requirements and CBRE system requirements
* Supporting/assisting in activities related to churn, fit out modifications and relocations
* Lodging work requests via SI7 platform
* Handling complaints and troubleshooting problems
* Maintaining records relating to the premises and maintenance related tasks
* Responsible for preventative maintenance scheduling
* Conducting regular tenancy inspections to identify issues relating to contractors, building management, and outstanding maintenance
* Managing general facility/premises duties incl a/h emergency contact
* Managing mailroom service and setup of function room for events etc.
* Managing financial tasks in accordance with CBRE reporting requirements, including invoicing, payments administration, financial management etc.
* Managing expenditure and costs to meet agreed budget targets
* Reviewing, verifying and approving all monthly invoices where required
* Ensuring prompt processing of all suppliers and sub-contractor invoices
* Tracking costs, identifying savings, and reporting opportunities to account management
