Job Description

Overview

The SEE Administration Officer is responsible for providing high-quality administrative support to Navitas Skilled Futures, across all services, all programs and sub-programs as required.

Objectives

• Provides administrative support for the business and works closely with internal stakeholders to ensure that all assigned administrative tasks are completed in a timely fashion

• The provision of excellent customer service

• Maintain accurate and up-to-date electronic records to ensure compliance requirements are met

Key Result Areas (Areas of Accountability and Responsibility)

Relationship Management

Ensures the provision of excellent customer experience by:

• Promptly and courteously responding to the day-to-day frontline, phone, and email enquiries

• Positively shaping the clients' first impression of Navitas Skilled Futures

• Actively promoting and marketing Navitas Skilled Futures programs, services, and expertise to current and prospective clients

• Escalating feedback and complaints

• Assisting with program, site, and employment information

• Assisting with the organisation and promotion of site events e.g., fundraising, morning teas, graduation, open days

• Assist stakeholders onsite as required

Administrative Support

Ensures consistent high-quality administrative support by:

• Providing administrative assistance and accurate information, responding to inquiries promptly, and supporting projects, operations, and system improvements.

• Ensure accurate and timely data entry

• Preparing relevant files and documentation e.g., for Pre-Training Assessments

• Issue client documents including invitation letters

• Invoicing of fee-paying clients, liaising with accounts and maintaining relevant ensuring reception area and student areas are clean, tidy, and welcoming

• Escalate any issues in a timely manner

Reporting Systems and Technology

Ensure consistent high-quality reporting support by:

• Maintaining accurate manual, electronic records and data in all systems

• Ensuring client records and personal information are stored securely according to the Navitas Skilled Futures privacy policy

• Sourcing, extracting, analyzing and validating data on the NSF reporting systems

• Co-operating with other Navitas Skilled Futures staff and external agencies in a way which ensures Navitas Skilled Futures complies with privacy regulations.

• Punctual VETtrak data entry and reporting

Other

• Performing other administrative duties, as required

• Complying with Navitas Skilled Futures regulations involving health, safety and welfare

• Seeking continuous improvement in delivery of administrative support, and implementing and modelling high standards of work performance

• Ensuring legislative compliance for the health and safety of staff and students at Navitas Skilled Futures.

Qualifications

Essential:

• High attention to detail and accuracy

• knowledge and experience in using Microsoft Office and Teams

• Demonstrated experience in providing administrative support within an education environment

• Demonstrated high level written and verbal communication skills with ability to effectively liaise with key stakeholders in a multicultural learning environment

• Advanced computer application skills including Microsoft Office suite

• Demonstrated awareness of a range of cultural perspectives and sensitive approaches to our clients and stakeholders.

Desirable:

• Demonstrated knowledge of State and Commonwealth government services, the Vocational and Education Training (VET) sector and other affiliated services

• Previous experience in an administrative role within the VET sector

• knowledge of Student Management System VETtrak

• Knowledge of Adult Migrant English Program (AMEP) and Skills for Education and Employment (SEE) program.
