Pay: $80,000 – $90,000 + super + up to $6,500 bonuses. Total OTE: $96,500 – $111,500 + super.
The role
This is a customer-facing project coordination role where you own a portfolio of builds end-to-end. From the moment a customer signs, you're their single point of contact — through permits, engineering, manufacture, delivery and install. You're the connective tissue between sales, engineering, installers, surveyors and council.
You'll be supported while you learn the regulatory side, and we'll expect you to be independent on most of it within 6 months. You'll also work closely with our incoming Operations Manager (joining July 2026), who oversees the coordination team.
This is a step up from generalist coordination work — closer to a junior project manager role, with a clear pathway into Senior Coordinator, PM or Operations within 2-3 years.
What you'll own
Permits and compliance
Lodge and manage building permits with private building surveyors.
Interpret site plans — setbacks, easements, building envelopes.
Identify and elevate planning overlays (BMO, SLO, LSIO, heritage, flood).
Manage council enquiries and inspection sequencing.
Engineering and pre-build
Coordinate structural drawings, slab and footing designs with our external engineers.
Sign off construction drawings with customers before release to manufacture.
Escalate complex engineering questions to the Senior Coordinator.
Release files to manufacture once permits and engineering are locked.
Coordinate crane truck deliveries, installer crews, and concrete contractors.
Schedule and confirm install dates with customers.
Resolve missing parts, snag items and post-install issues.
Process progress payments and final balances.
Keep customers and their sales consultant informed at every milestone.
Be the calm, capable voice when things get complicated.
Hand the customer over to install crew with no information loss.
What you'll need
2+ years in construction admin, project coordination, building surveying support, council planning, or related field.
Comfortable reading site plans and basic engineering drawings.
Aware of the Victorian building permit process — we'll train you on the specifics.
Strong written and verbal communication — you'll be on the phone, on email, and writing in the customer file all day.
Comfortable with technology — we run on Salesforce, Make.com, Google Workspace and a custom AI‐assisted workflow.
Nice to have
Working knowledge of Class 10a permits and planning overlays.
Experience working with private building surveyors.
Prior shed, garage, kit home or modular building industry experience.
Familiarity with Landchecker, VicPlan or BASIS.
Experience with regional Victorian councils.

Customer satisfaction at post‐install survey.
