Administrative Officer - Contracts
We are seeking a proactive and highly organized administrative officer to support the day-to-day operations of our contracts team. As the first point of contact for the team, you will play a key role in ensuring the smooth delivery of administrative functions and general support services across the area.
About the Role
* You will coordinate a range of administrative activities and provide comprehensive assistance to staff, helping to drive the efficiency and effectiveness of our operations.
* You will work collaboratively with other teams across research services and systems, as well as the broader research office, delivering a responsive and tailored service to both internal and external stakeholders.
Your responsibilities will include:
* Manage the contracts team's inbox and research master submissions, triaging requests, identifying priorities, and tracking actions for timely follow-up.
* Allocate incoming tasks to team members based on subject matter, urgency, and workload, and maintain the team's work allocation register.
* Assess incoming documents for completeness and relevance, flag missing information to relevant teams, and compare with previous matters to support decision-making.
* Maintain effective administrative systems and processes to support daily team operations.
* Liaise with key internal stakeholders to coordinate and progress tasks efficiently.
Requirements
* Experience coordinating a wide range of administrative activities within a busy team or functional area.
* Strong organizational skills, with the ability to manage multiple priorities while maintaining accuracy and meeting deadlines.
* Advanced computer skills, particularly with Microsoft Office applications (Word, Excel, Outlook, and Teams).
* Excellent written and verbal communication skills, with the ability to engage effectively across diverse audiences using diplomacy and cultural sensitivity.
* Strong problem-solving skills and the ability to exercise sound judgment and discretion in determining appropriate actions.
* Experience working in a university or large, complex organization is desirable.
* Experience supporting contract management processes or working within a contracts or legal environment is also desirable.
