This is an evolving environment and the right candidate will embrace that change rather than resist it. About the Role This is a rare opportunity to own an EA role from the ground up. Reporting solely to the CEO, the EA will serve as the central link across a multi-brand operation - coordinating key management figures including the General Manager, Area Manager, Financial Controller and Heads of Business. Based in a private office pod at the Prestons warehouse, this is a sole office function requiring someone who is self-directed and assured in their own judgement. The scope is intentionally broad. As the business digitises, the EA will adapt alongside it - filling gaps, identifying inefficiencies, and finding new ways to add value rather than following a fixed routine. Key Details Reports directly to: CEO Location: Prestons Warehouse, Western Sydney Work style: Sole office role; self-managed Salary: $90,000 superannuation staff discounts What You Will Do CEO & Personal Assistance Manage the CEO's calendar, scheduling and appointments Coordinate travel, accommodation and personal arrangements Draft and send correspondence on the CEO's behalf Triage business communications - knowing what is urgent and what can wait Communications & Triage Scan and triage emails, WhatsApps and messages daily Chase accountability items and deliverables across the management team Maintain clear records of outstanding actions through to resolution Organisational Structure & Clarity Build and maintain a live organisational chart across all business units Identify role gaps and flag to the CEO Map cross-departmental workflows and identify areas for improvement Knowledge Transfer & Documentation Use Claude (AI) to document processes and build a structured knowledge base Create clear handover documentation for role continuity Continuously look to streamline how information is captured and shared About You Self-directed - you identify what needs doing and see it through without prompting Strong triage instincts - you know what is urgent, what can wait, and who needs chasing Conscientious - accuracy is non-negotiable; you do not cut corners AI-first mindset - you use tools like Claude to work smarter Highly adaptable - you lean into change and fill gaps as they appear Discreet - you operate with professionalism around private business matters Culturally aware - respect for the faith-based context of this business is important Relevant Experience EA, PA or Chief of Staff experience working closely with a Founder, MD or CEO Comfortable working as a sole EA in a warehouse, retail or operations environment Experience with AI tools in a professional setting Strong written communication and documentation skills Retail, wholesale or imports experience is a bonus but not essential What's On Offer $90,000 superannuation staff discounts Private office pod - a dedicated, self-contained workspace Direct access to the CEO from day one A business with genuine purpose and cultural significance The opportunity to build and own the role long-term If this is the role you have been looking for - somewhere to plant your feet and genuinely contribute - we encourage you to apply with your resume To apply online, please click on the apply button.
