In this pivotal role, you'll put your broad administrative talent to work, supporting daily operations, taking ownership of key office functions, and confidently working both independently and as part of our close-knit team. A strong understanding of WHS standards is preferred, as is the ability to keep things running smoothly behind the scenes. As our administration officer, you will be expected to carry out a range of administrative and IT-related tasks including the provisions of both clerical and administrative support to the General manager and Managing Director.
* Acting as the first point of contact for visitors, answering phones, and managing incoming and outgoing correspondence.
* Coordinating meetings, appointments, update calendars as required.
* Maintaining accurate records, including updating databases, and managing files.
* Managing inventory of office supplies, ordering new stock, and ensuring office equipment is working correctly.
* Team & HR Support: Collaborate with other departments, assist with onboarding new employees and ensure compliance with office policies and safety standards
Fleet Management
As fleet administrator, you will oversee the company's vehicle fleet by managing vehicle registrations, maintenance, and disposal. Key duties include procurement and maintenance of vehicles, Pre Starts and ensuring work orders are raised to capture repairs & preventative maintenance. You'll play a major role in managing and overseeing our online Vehicle Management system, giving you the opportunity to make a real impact on how our business operates.
* Manage vehicle registration, licensing, and insurance.
* Liaise with our workshop mechanics. Schedule preventative maintenance and repairs to vehicles and equipment to minimise downtime. Maintain detailed and accurate records of vehicle use, maintenance, and inspections.
* Maintaining of online Vehicle Management System.
* Have a comprehensive understanding of company policies regarding vehicle usage. Assist with insurance claims and risk management.
Essential skills and qualifications
* Proven experience in an administrative role is essential.
* Be a self-starter and demonstrate the ability to work autonomously.
* Strong communication and organisational skills.
* Strong computer skills, including proficiency in Microsoft Office and Excel.
* Proficiency in fleet management.
* Exceptional organisational and multitasking abilities.
* Strong attention to detail.
* Ability to work well with others and maintain a positive attitude.
* Current NT Drivers Licence.
