THE ROLE

We are recruiting for an Office Manager to join us to support our busy team of consultants across their desks. You will support both permanent and temporary recruiters to manage the entire life cycle of the recruitment process. Surrounded by one of the most experienced recruitment teams in Sydney, your main aim will be to provide the specific support required by each consultant in-line with the needs of their desk. This is a busy and varied role which will encompass all elements of an Office Manager role with some additional responsibilities. We're looking for someone who takes initiative and is self-motivated, with the drive to work proactively.

Responsibilities:

* Administrative Support: including daily office operations and ensure the office runs smoothly.
* Run fortnightly payroll for the contracting team, create contracts for temporary workers, and assist with their onboarding to our payroll system.
* Support with the creation of proposal documentation. Assisting with the RFP processes, preparing documentation and remaining in communication with our clients and candidates.
* Event Management; assisting with acquiring venues, booking catering, advertising events and the overall smooth running.
* Send placement information for invoicing to our accounts team.
* Make regular updates to our website (WordPress), edit and design pages as needed.
* Assist consultants to manage the full recruitment process – shortlisting CVs, pre-screening candidates, job advert writing, coordinate interview schedules.
* Update and manage our CRM system.
* Social Media and Marketing management; publish content on our LinkedIn account and create any marketing assets needed.
* Facilitate the onboarding of new recruiters, setting up their workstations and access to systems.
* Greet clients, visitors, and other external guests in a professional manner.
* Monitor and manage office supplies inventory. Order new supplies as needed and ensure cost-effectiveness.
* Oversee the management of virtual team assistant
* Coordinate with building management on office maintenance, safety, and security.
* Other ad hoc administration and project work as required by the team.

THE CRITERIA

To be successful in this role you will have previous experience in an administration role with adeptness in multitasking, and meticulous attention to detail. Moreover, discretion and professionalism are paramount, ensuring confidentiality in handling sensitive information. A candidate with a positive attitude, heaps of initiative and problem-solving capabilities, plus a commitment to teamwork will excel in this administrative role.
