Key Responsibilities
* Event Operations & Logistics
o Manage all operational aspects of expos from planning through to pack-down
o Liaise with venues, contractors, and suppliers (AV, furniture, freight, signage, staging, catering, security, cleaning)
o Oversee floorplan design, exhibitor allocations, and feature area setups
o Ensure compliance with WHS, insurance, and risk management requirements
o Manage bump‐in and bump‐out schedules, site inductions, and onsite crew coordination
o Coordinate freight, storage, signage, and build timelines with precision
* Project & Budget Management
o Develop and manage operational budgets and supplier contracts
o Track costs, approvals, and supplier payments to ensure delivery within budget
o Create and maintain critical paths, production schedules, and run sheets
o Monitor milestones and ensure all departments meet operational deadlines
* Team & Stakeholder Management
o Work closely with Event Director, Marketing, Sales, and Content teams to align execution with strategy
o Manage and mentor operations staff, contractors, and volunteers onsite
o Coordinate with sponsors and exhibitors to deliver premium onsite experiences
o Act as the primary point of contact for venue staff and production teams during bump‐in, bump‐out, and live event days
* Systems & Process Development
o Maintain event documentation, operations manuals, and post‐event debriefs
o Implement and refine systems to improve efficiency (floorplan management, contractor booking, supplier databases)
o Contribute to sustainability initiatives and ongoing operational innovation
Skills & Experience
* 3–5+ years experience in event operations, ideally across expos, conferences, or large‐scale trade shows
* Minimum 3 years of direct expo or trade show operations experience required
* Must have specific expo or trade show experience, other event backgrounds will not be considered
* Strong experience working with venues, contractors, and suppliers
* Proven ability managing budgets, logistics timelines, and floorplans
* Excellent communication, negotiation, and time management skills
* Ability to work under pressure and manage multiple concurrent deadlines
* Strong technical capability (Google Workspace, Monday.com, CAD or floorplan tools, Excel)
* Solid understanding of risk management, safety compliance, and venue operations
* Hands‐on operator with the ability to lead onsite teams during bump‐in and bump‐out
* Australian citizens only
Bonus Points
* Experience delivering international or multi‐city events
* Understanding of blockchain, fintech, or emerging technology industries
* Familiarity with exhibitor management or registration platforms
