We now have an exciting opportunity for a Real Estate & Fleet Administrator to join our Procurement & Real Estate team in Melbourne, Brisbane or Sydney office on a permanent full time basis.
Reporting to the National Facilities Manager, you will be providing essential administrative and coordination support to ensure APA’s fleet (approximately 500 vehicles) and real estate operations remain safe, compliant, and fit for purpose.
Working closely with our Fleet and Facilities Coordinators, you’ll help keep things running smoothly for teams across the business.
The Opportunity
Key Responsibilities
- Manage end-of-month processes with fleet and vehicle suppliers, tollways, and ServiceNSW.
- Generate and receipt purchase orders and reconcile accounts for Fleet and Real Estate.
- Maintain accurate records, including vehicle and driver lists, licences, registrations, toll tags, and fuel cards.
- Coordinate vehicle servicing, repairs, and maintenance.
- Provide support for Real Estate Service Desk tickets and contractor coordination.
- Assist with meeting coordination, including preparation and minuting.
Your background
- Experience in administrative roles with strong attention to detail.
- Proficient in MS Office Suite and confident with systems and data management.
- Strong time management skills with the ability to juggle competing priorities.
- Effective stakeholder management and relationship-building skills.
- Clear and timely communication style with a focus on customer service.
