Location: Sydney (Hybrid: 5 days in-office initially, then Mon & Wed in-office)
Attractive Casual Rate
Hours: 9 AM – 5 PM, Monday to Friday

About the Role
We're looking for a highly organised and proactive Program Coordinator to join a dynamic tech team supporting a Device Loan and Seeding Program across ANZ. If you thrive in a fast-paced environment, have excellent attention to detail, and enjoy operations, logistics, and stakeholder management, this could be your next step.
This is an exciting opportunity to work on the ground floor of product launches, drive operational efficiency, and help deliver a premium experience for both internal and external stakeholders.
Key Responsibilities
Program & Operations Management
* Oversee daily management of loan/seed requests, extensions, and returns
* Ensure adherence to program guidelines and compliance policies
* Conduct and coordinate twice-yearly stocktakes at the warehouse
* Maintain inventory accuracy and coordinate device deliveries and returns
* Manage mailbox, shared folders, and SharePoint content
* Support with asset disposal, donation, and recycling
Stakeholder Coordination
* Liaise with sales teams and assist with customer loan processes
* Coordinate with warehouse and vendor partners for logistics and reporting
* Lead weekly supplier review meetings and track program performance
Reporting & Administration
* Reconcile inventory records and resolve discrepancies
* Run monthly reports on stock levels and inventory movement
* Update process documentation and assist with program improvement
Your Typical Day
* Responding to emails and actioning program requests
* Coordinating device shipments and returns
* Assisting with internal product launches
* Managing program data and reporting
* Communicating with vendors, warehouse, and internal teams
* Following up on tasks and ensuring timelines are met
What We're Looking For
Must-Have Experience & Skills
* Minimum 2 years in administrative, operations, or customer service roles
* Strong stakeholder engagement skills and professional communication style
* High attention to detail and ability to multitask effectively
* Strong Microsoft Excel skills (pivot tables, VLOOKUP, etc.)
* Proficiency in Microsoft Office (Outlook, Excel, Teams, SharePoint)

* Clear and confident communicator (written and verbal)
