The HR/Payroll Specialist executes all payroll functions for Hellmann Costa Rica, Hellmann USA, and Hellmann Canada under the direction of the HRIS and Payroll Manager, AMCS. Over time, this position may cross-train for other payroll administration in the AMCS region. This role focuses on delivering high-quality results in payroll processing while ensuring compliance with legal regulations.
Main Roles And Responsibilities
Costa Rica Support
* Monitor country level payroll inbox and respond to employee inquiries
* Validate master record updates made by HR Generalist (new hires, terminations, salary updates, etc.)
* Enroll new hires at INS.
* Update garnishment and child support records
* Notify managers of payroll start day
* Verify vacation and sick requests requested in Heinsohn by managers and employees against e-mail notifications received at payroll inbox
* Enter overtime in Heinsohn as submitted by managers to payroll inbox
* Enter other payment exceptions such as bonuses and commissions as provided by authorized HR personnel or managers
* Process payroll in Heinsohn
* Use CAPA system to report any systemic or minor problems with payroll process. Identify corrective actions when necessary
* Open new payroll cycle in Heinsohn
* Declare payroll to CCSS
* Declare payroll to INS
* Generate worked hours report for HBSCR QHSE
* Generate time off balances report for HSBCR Director
* Coordinate and deliver severance payment
* Maintain Payroll documentation (SOPs, manuals, policies, etc.)
United States and Canada Support
* Monitor country level payroll inbox and respond to employee inquiries
* Review timecards for error notifications and resolve issues with timecard approvers
* Process payroll
* Open new time cycles in ADP
* Administer incentive payments (commissions, bonuses, etc.)
* Coordinate offcycle payments (manual checks) as necessary
* Calculate and apply final vacation payment to terminating employees
* Coordinate and deliver severance payments
* Process garnishment paperwork to setup deduction and disbursement by ADP
* Answer garnishment inquiries from employees or issuing agencies
* Provide notices and updates to payroll tax team at ADP
* Support year-end tax form generation and delivery
* Reset ADP passwords
* Prepare and distribute internal payroll reports to management teams
* Coordinate weekly 401k updates from Empower and load into ADP
* Connect new hire and manager training
* Maintain Payroll documentation (SOPs, manuals, policies, etc.)
Education And Experience Requirements
* Bachelor's Degree in Human Resources, Business Administration or equivalent
* Human Resources Experience
* Advanced English Level (B2+, C1)
* Experience with ADP WorkforceNow is a plus
* 2+ years prior experience preferred
