About The Role
As Administration Officer, you’ll be the backbone of daily operations—ensuring the office is organised, professional, and welcoming. You’ll handle a wide range of administrative tasks, including reception, coordination, and office logistics, while assisting the Executive Assistant as needed. From greeting visitors to managing supplies, travel, and communications, you’ll play a vital role in fostering a positive and efficient workplace. This hands-on role offers variety, responsibility, and a chance to make a real impact.
Key Responsibilities
•Greet visitors and manage all reception duties, including answering calls and handling enquiries
•Coordinate travel bookings and arrangements, including accommodation and travel-related activities
•Manage meeting rooms and prepare boardrooms, including technology setup and supplies
•Order, maintain, and coordinate office and kitchen supplies
•Handle mail collection, postage, and courier services
•Prepare, format, and quality-check documents, reports, fee proposals, and tender documentation
•Assist with onboarding and offboarding procedures for staff
•Maintain filing systems, records, administrative registers (e.g., office access cards, staff contact lists), and templates
•Manage petty cash and coordinate motor vehicle maintenance and services
•Liaise with building management and service providers to ensure office and building upkeep
•Organise events, functions, and catering as required
•Support the Executive Assistant, marketing and project teams with administrative tasks when required
•Assist with development and implementation of new administrative processes and systems
•Deliver broad administrative and office support to maintain a professional and efficient workplace
About You
You present professionally with a friendly and welcoming personality. Reliable, self-motivated, proactive, diligent, and adaptable, you’re ready to assist across the office as needed. You are a team player with strong organisational skills, clear communication, and a keen eye for detail.
•Minimum 3 years’ experience in administration or office support
•Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
•Excellent verbal and written communication skills, including a professional phone manner
•Excellent time management, organisational skills, and ability to multitask
•High attention to detail and accuracy, particularly with document formatting
•A proactive ‘can do’ attitude with the ability to take initiative
•Ability to plan and organise a busy workload while supporting multiple stakeholders
•Experience in engineering or professional services (desirable but not essential)
•Willingness and ability to learn quickly
•Ability to build and maintain effective working relationships
•Reliability, trustworthiness, and a commitment to working in a dynamic, deadline-driven environment
•Current driver’s licence and unrestricted Australian work rights are essential.
