SmallBiz Week is co-located with ourLight Commercial Motorshow, a dedicated event for trade and fleet vehicles. Together, these events form part of one of the most ambitious and exciting business and automotive calendars in the country.
We're growing fast – and we're looking for an Events Officer (Programme and Speaker Coordinator) to help steer the way forward.
About the Role
We're looking for someone to lead the planning and delivery of our event programs - specifically focusing on conferences, workshops, and related event logistics. While our broader team runs a range of EV adoption programs year-round, this role is dedicated to the development and delivery of event content, working closely with speakers, sponsors, and partners to bring each event to life.
You'll also support communications and stakeholder engagement linked to these events. This is a great opportunity for someone who thrives in a fast-paced, collaborative team environment and is looking to build experience across events, content planning, and relationship management.
Key Responsibilities:
Event Program Planning & Delivery
* Plan and coordinate the delivery of high-quality conference and workshop programs across our annual events calendar
* Lead speaker engagement, including outreach, scheduling, briefings, and logistics
* Assist in shaping program themes and session content in line with audience interests and sponsor objectives
* Manage the end-to-end run sheet on event days - including stage management, speaker transitions, and timekeeping
* Confidently support on-stage announcements (public speaking experience preferred)
* Work closely with the broader team to ensure all program and speaker elements run smoothly onsite
Event Communications & Coordination
* Coordinate ongoing communications with speakers, panellists, and event contributors in the lead-up to each event
* Maintain speaker briefing materials, schedules, newsletters, and comms documents for internal and external use
* Assist with partner and sponsor engagement as it relates to the program, including integrating their content into sessions
* Support content updates on event websites (e.g., speaker bios, program agendas) using CMS tools like WordPress
* Collaborate with the marketing and content teams to ensure alignment across event promotion and programming
* Support development of event-related communications, such as newsletter topics or speaker spotlights (minimal copywriting)
What We're Looking For
* 3–4 years' experience in events, projects, partnerships, communications, or program coordination roles
* Strong organisational and time-management skills, with the ability to juggle multiple priorities
* Comfortable with public speaking and stage presence at live events
* Team-oriented mindset and ability to work collaboratively in a small, hands-on team
* Willingness to travel interstate several times a year to support event delivery
* Full-time availability for our South Yarra office five days a week (occasional WFH flexibility may apply)
Preferred
* Experience in the events, project planning, automotive, media and communications industries
* Familiarity with WordPress or similar content management systems (CMS)
* Previous experience liaising with corporate partners such as sponsors, government, or industry partners
