Are you an organised, creative all-rounder who loves fitness and people?
Join our team at Vision PT Engadine as our new Admin & Marketing Assistant, a hands-on part-time role mixing admin, social media, and client experience.
We're looking for a dynamic Admin & Marketing Assistant to support our growing team at Vision Personal Training Engadine helping keep the studio running smoothly behind the scenes while making our brand shine online and in the community.
This is an exciting, hands-on role for someone who thrives on variety and loves working with people.
You'll be the go-to person for organisation, communication, social media, and client engagement all while supporting the Director/Manager with day-to-day operations.
What You'll Be Doing
Client Experience & Communication
Enter new leads into our CRM (VOS) and ensure they're nurtured through the sales pipeline.
Send milestone texts, birthday messages, accountability check-ins, and follow-ups.
Request and respond to Google reviews via AskNicely.
Make post-session feedback calls and follow up on cancellations or suspensions.
Re-engage past leads through automation tools (Go High Level).
Coordinate milestone gifts and create monthly client success story highlights.
Marketing & Social Media
Create and schedule engaging content:
Weekly posts (Client/Trainer of the Week, events, success stories)
Manage social inboxes (Instagram, LinkedIn) and boost community engagement.
Coordinate print materials and signage (flyers, milestone posters, in-studio boards).
Support in-studio events, seminars, and shopping tours.
Schedule SMS/email campaigns and manage the content distribution calendar.
Manage client bookings, invoices, payments, and direct debits.
Follow up on failed payments (Paysmart) and ensure sessions are processed.
Send weekly payroll summaries and support financial reporting.
Print and prepare weekly reports (Sales Register, Lead Activity, Management Reports).
Keep the studio stocked, organised, and professional.
Assist with marketing campaigns, project support, and special initiatives.
Super organised with excellent attention to detail and follow-through.
A confident communicator who loves connecting with people.
Creative with social media and Canva (or eager to learn quickly).
Tech-comfortable, proactive, and takes initiative without being asked.
Passionate about health, fitness, and helping others succeed.
