SCOPE
We are seeking a motivated Accounts Payable & Customer Service Administrator to join the Evergreen Finance team at our Baileys (Kwinana) manufacturing site. This is an excellent opportunity for a graduate or early‑career finance professional looking to gain hands‑on experience in a fast‑paced, operational and manufacturing environment.
The role offers a 60% finance / 40% customer service and office administration split, with finance responsibilities forming the foundation of the position. You will gain exposure to accounts payable, cost reporting, freight and transport analysis, sales order processing, and broader operational finance, while also supporting customer service and site administration.
Support for professional accounting studies will be available.
KEY RESPONSIBILITIES
Finance & Accounting:
* Process all Accounts Payable, including invoice processing and reconciliations
* Process employee expense claims and company credit cards
* Assist with monthly cost reporting (travel and marketing expenses)
* Collect and distribute Proof of Deliveries (PODs)
* Maintain accurate customer and internal finance records
* Provide backup support to Accounts Receivable, including invoice posting and bank statement downloads
* Gain exposure to freight analysis, transport costs, and fleet financial drivers
Customer Service & Office Administration:
* Process and manage sales orders, liaising with Sales to resolve discrepancies
* Convert sales orders to invoices and issue credit memos where required
* Prepare and distribute the weekly Stale Orders Report
* Attend Customer Service meetings with the wider Evergreen team
* Support customer service KPIs and reporting
* Manage reception and front‑of‑house operations
* Greet visitors and handle incoming calls professionally
* Manage the shared inbox and redirect enquiries as required
* Ensure visitor and contractor compliance with site requirements
* General administration including filing, ordering supplies, and meeting room setup
* Coordinate staff health and wellbeing checks (medicals, skin checks, hearing tests)
Additional Duties
* Support cross‑departmental projects and new system implementations
* Assist with staff uniforms, site events, training days, customer tours, and trade shows
* Carry out other reasonable duties as directed
SKILLS AND EXPERIENCE:
* TAFE qualification or degree in Accounting / Finance (desirable)
* Studying or intending to pursue CPA or CA qualification
* 1–3 years' office or administration experience (desirable)
* Strong attention to detail and organisational skills
* Ability to manage deadlines and work under pressure
* Confident communicator with strong written skills
* Intermediate Microsoft Office capability
* Proactive, adaptable, and comfortable working independently and in a team
