Document Controller We are currently seeking an experienced Document Controller to manage and maintain our client's critical site documentation.
This role offers a unique opportunity to join a dynamic team and ensure the efficient handling of project documentation across multiple projects.
Pinjarra | 12 Month Temp Contract | Full time Key Responsibilities: Document Management: Update and maintain document registers, track all controlled documents in and out of the project.
Confidential Information Handling: Manage the flow of both confidential and non-confidential information internally and externally while ensuring proper confidentiality protocols are adhered to.
Record Retention Compliance: Ensure legal and business requirements for record retention are met, providing guidance and advice to project personnel as needed.
Filing & Archiving: Maintain and manage the project filing system, preparing electronic and hard copy documentation for archiving upon project completion.
TeamBinder Usage: Manage the identification, registration, review, approvals, transmittals, correspondences, and distribution of all project-related design documents using TeamBinder.
Document Numbering: Request new document numbers and revisions, ensuring they are correctly provided to vendors.
Track Documentation: Monitor and track all controlled documentation throughout the project lifecycle via TeamBinder.
Database System Maintenance: Follow proper procedures to maintain a database for the traceability of all engineering documentation.
Process & Procedure Development: Establish and implement processes and procedures to ensure consistency across large-scale projects.
Document Expediting: Expedite outstanding document approvals and transmittals, ensuring timely completion of project records.
Timely Distribution: Ensure the timely and accurate distribution of documents through transmittal and workflow processes.
Project Reporting: Assist in updating PowerPoint presentations for monthly project reporting to management, ensuring documentation is up to date.
Experience & Qualifications: Experience: 3-5 years in document control, experience in a capital project or mining environment is advantageous.
Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Teams, OneNote, Outlook, PowerPoint).
Software Knowledge: Familiarity with Smartplant (EDM) and TeamBinder advantageous.
Strong Organizational Skills: Ability to manage and prioritise multiple tasks while maintaining attention to detail.
Communication Skills: Excellent written and verbal communication skills, with the ability to interact effectively with project teams and stakeholders.
