The Company
Base Group Australia provides fuel supplies, crane and rigging, labour and logistics services to the resources and construction sector in Geraldton and other locations around Western Australia.
The Role
Due to growth in the business in Geraldton and other locations, Base Group Australia is seeking expressions of interest from a suitably experienced Office Manager to be based primarily in Geraldton and willing to do some travel to Perth and the Pilbara.
Base has recently established an office in Geraldton where the role will be mainly based in a full time capacity reporting to the Managing Director. The role requires flexibility and in exchange the company offers flexibility in regard to hours etc. For clarity, some after hours work is required from time to time.
Much of the time the Office Manager will be unsupervised but expected to attend daily teams meetings and regular contact with other managers based in other locations.
Roles and responsibilities include, but are not limited to:
* General Administration duties
* Site attendance and interfacing with operations personnel
* Customer Liaison including fielding enquiries, quoting and email and face to face relationship management
* Attending Regulatory Authority meetings
* Taking bookings and managing work schedules
* Provide administration assistance to Senior Management as required
* Compile monthly management report
* Social media updates and other marketing
* Quoting and invoicing
* Banking and bank reconciliation
* Management of crew files and crew compliance including onboarding, qualifications, inductions etc.
* Document control register – tracking spreadsheet – monitor compliance
* ISO compliance and audits
* Monitor/track site safety KPI's – checking compliance and providing feedback to all personnel
* Quality Management including crew files, HSEQ targets and KPI's
* Setting agendas and recording of minutes and follow up actions
* Technical – assist with document creation and formatting
* Act in relief role of Operation Manager where required including site visits, attending toolbox meetings, liaising with staff and clients etc
* Parts sourcing/procurement and creation of purchase orders
* liaising with suppliers, for purchasing and logistics
* Freight and logistics instigation and coordination
The Contract
The contract is on a full-time long term basis, situated in Geraldton.
The Requirements
Preference is given to applicants experienced within these respective fields and industry, although training can be provided to the right applicants.
At Base Marine, all staff are expected to be hands on in whatever tasks are scheduled for any particular day and the role is exciting and diverse.
As the successful applicant, you will have the following key attributes:

* Proven ability to work in a cross-functional team-based environment whilst also having the ability to work autonomously and unsupervised
* Effective and strong communication skills including verbal and written
* Experience using Microsoft Office, Excel and Outlook
* Demonstrated ability to follow processes, policies and legislation
* Able to gather information and the ability to make confident decisions
* Minimum 5 years experience in a similar role
* Excellent communication skills
* Well-presented and fit for work
* Willingness to work in various roles within the operation subject to site activity levels and available tasks each day
* Ability to travel occasionally
The following skills are not essential but would be beneficial to have:
* Experience with Xero book-keeping software
* Crane, Marine, Logistics industry experience
