Coach Support & Delivery Coordinator (Admin + Tech Focused)
Location: Remote | Full-Time | Australian Business Hours (9am to 5pm AEST)
SHE-com is scaling fast, and we're looking for a sharp, proactive individual to join our team. This role is at the core of our coaching delivery, keeping programs, coaches, and operations running smoothly.
We support over 40,000 female founders globally. You'll help deliver an exceptional experience across our Academy+ and Scale programs, ensuring coaches feel supported and backend flows operate seamlessly.
YOUR MISSION
To be the operational engine behind our coaching team, helping us deliver world-leading programs with structure, clarity, and seamless execution.
YOU'LL OWN
* Coaching Operations: Manage calendars, call links, reminders, and follow-ups across all live group coaching calls and 1:1s.
* Admin & Back-End Support: Own and update SOPs, onboarding checklists, Google Drive folders, forms, and file structure.
* Digital Platform Management: Confidently use tools like HubSpot, Circle.so, Slack, Vimeo, Zoom, and Google Workspace.
* Replay & Content Organisation: Title, tag, upload, and manage coaching call recordings with a keen eye for detail and consistency.
* Coach Support & Communication: Provide thoughtful, on-brand responses and updates in Circle, Slack, and email.
* Coach Preparation: Ensure our coaching team is prepped and organised. Create call notes, attendance logs, and summaries where needed.
* Scheduling: Maintain live call calendars, schedule new calls and ensure all links, time zones, and details are correct.
YOU'RE PERFECT FOR THIS IF YOU
* Thrive in a fast-paced environment and love ticking things off a list
* Have at least 3 years' experience in operations, admin, or VA work (ideally in a coaching, education, or e-commerce business)
* Are extremely tech-savvy and comfortable across tools like HubSpot, Slack, Zoom, Vimeo, Google Workspace, and more
* Are process-driven, detail-obsessed, and solution-focused
* Love working behind the scenes and making others shine
* Can confidently work independently and take initiative
* Have excellent written and spoken English
