Primary objective

Provide effective administrative support to the management and staff of the Facilities Management Section and undertaking relief duties in the Facilities Management Front Counter and Peter McAulay Centre Mail Courier roles.

Key duties and responsibilities

* Provide administrative support to the section by carrying out electronic records management, creating electronic travel itineraries, purchasing office supplies as required and contributing to operational efficiency within the Section by developing new and documenting existing work procedures.
* Provide operational support to the Section by assisting during periods of peak demand and staff absences. These duties include triaging and submitting requests for Urgent Minor Repairs, printing electronic access and identification cards, creating individual access profiles and processing invoices through the NTGPay system.
* Supporting the mail courier service at the PMC including receiving, documenting and dispatching mail, freight and parcels during times of peak demand and during staff absences.
* Deliver high-quality customer service to internal and external stakeholders, addressing routine inquiries and escalating more complex issues in accordance with established processes and procedures.
* Undertake other duties as directed to support the broader objectives of the Infrastructure Branch.

Selection criteria

Essential

* Demonstrated experience in providing a broad range of administrative activities to support the operational efficiency of a small team within a multi-faceted environment.
* Good oral and written communication skills, with the ability to engage with internal and external stakeholders respectfully and professionally.
* Good organisational skills, including the ability to use initiative and to work under pressure both independently and within a team with minimal supervision.
* Proven capacity to quickly acquire new skills and a good understanding of processes outside of the normal administration stream, e.g. prioritising building maintenance and repair requests and how to escalate urgent matters appropriately.
* The ability to carry out manual handling of small freight items / large parcels including knowledge of and the ability to put into practice the Works Health and Safety procedures for such tasks.
* The willingness and ability to travel to regional and remote locations within the Northern Territory either by road or light aircraft including holding current Northern Territory driver's license.

Desirable

1. Knowledge of NT Government systems such as TRM, TRIPS and NTG Pay, or similar.
