Position OverviewThe Jr. Procurement Officer is responsible for purchasing, inventory management and logistics management. This role focuses on ensuring the seamless flow of goods and materials into and out of the organisation, maintaining quality standards, and meeting production and customer delivery goals. The position involves order creation and follow up, inventory data entry and maintenance, logistic booking and follow up, and assisting the Supervisor to finish other procurement tasks.Company OverviewVitalTrace Pty Ltd is a multi-award-winning, VC-funded Australian-based Med-tech start-up company aiming to improve outcomes for mothers and children during the childbirth process. We have a vibrant culture with a diverse, high-performing multidisciplinary team of clinicians, researchers, engineers, chemists, software developers, and data scientists all working towards the same goal.Roles & ResponsibilitiesWe may from time to time vary or modify your duties but only to those duties for which you have the skill and competencies:PurchasingLiaising with suppliers and colleagues to identify goods to order.Manage the process of purchasing and supply of goods.Maintain and update accurate information and documentation (ie SOPs, Lists, Registers).Maintain supplier records and other important data as directed by supervisor.Receiving goodsReceive goods purchased and perform reconciliation with PO.Inspect order and report any discrepancies with order or defective products.Inform teams to perform QC tests.Update database in a timely fashion.InventoryMonitor and manage inventory levels.Daily inventory data entry.Flag any stock issue to supervisor or low stock on key goods.LogisticsLocal and international shipment booking.Checking shipment status and updating other team members.Collaboratively work with team members to place orders.Communicate regularly on status of goods on arrival.Supply ChainAssist Supply Chain Manager.Negotiate pricing and supply contracts.Manage the implementation of supply contract agreements.Maintain relationships with vendors/suppliers.Register maintenance for Approved Suppliers to ISO Standards (ISO 13485).Liaising with Suppliers to ensure products and supplies meet quality standards.RequirementsQualifications/Licences/CertificatesTertiary qualifications with relevant, transferable knowledge in purchasing, logistics, supply chain management, and business studies.National police clearance is required.Relevant Experience, Skills, Knowledge and Requirements.SkillsAccurate data entry experience and attention to detail.Ability to prioritise and manage time efficiently with multiple tasks requiring attention.Excellent communication skills and stakeholder management.Goal-oriented, organised, and collaborative in your work style.Ability to work well with management and staff at all levels.Experience with MS365.Experience with inventory control software an advantage.ExperienceMinimum 1 years' experience (minimum) in a similar role in science and technology, medical supply, or other equivalent industries (Requirement).Experience in International Logistics.Experience with ISO standard 9001 (required).Experience with both Australian and International suppliers (Preferred).Experience with ISO standard 13485 an advantage.Multilingual experience is an advantage for this role.Additional InformationDue to the nature of the position and industry, there may be a requirement to work outside normal business hours.Some travel may be a requirement of this position.
